Set up QuickBooks Web Connector

Learn how to set up Web Connector, a QuickBooks Desktop add-on that enables integration between web-based applications and your QuickBooks Financial Software or QuickBooks Point of Sale.

What is QuickBooks Web Connector

The QuickBooks Web Connector is a go-between application that allows qbXML and qbposXML to pass between a Web-based application (implementing a standard Simple Object Access Protocol [SOAP]-based web service interface) and QuickBooks financial software or QuickBooks Point of Sale. Communication with web services can be automatically scheduled or simply be initiated at the user's convenience.

Adding a web service is as easy as downloading a file. The program requires a .qwc file, which is an XML file designed to interact with QuickBooks Desktop products and can be opened automatically by QuickBooks Web Connector.

The QuickBooks Web Connector can be used with any QuickBooks Desktop product supported by the QuickBooks SDK or the QBPOS SDK, including:

  • U.S. editions of QuickBooks Financial Software products
    • QuickBooks Desktop Enterprise
    • QuickBooks Desktop Premier (2016 or later)
    • QuickBooks Desktop Pro (2016 or later)
  • U.S. QuickBooks Point of Sale (v13.0 or later)
  • Canadian editions of QuickBooks Pro, Premier or Enterprise (2016 or later)
  • UK editions of QuickBooks Pro or Accountant Edition (2016 or later)

How to install QuickBooks Web Connector

Note: Make sure that you have the .qwc file from your third party web-service provider before installing or reinstalling QuickBooks Web Connector.

  1. Download the installer of QuickBooks Web Connector.
  2. Unzip the downloaded installer and run the .exe file.
  3. Follow the prompts to complete the installation.Note: This installation will install Windows components if necessary.

How to uninstall QuickBooks Web Connector

Note: Save the.qwc file from your third party web-service provider before uninstalling QuickBooks Web Connector.

  1. On your keyboard, press Windows+R to open the Run window.
  2. Type in control and click OK to open the Control Panel.
  3. Click Uninstall a program.
  4. Select Web Connector and click Uninstall.NOTE: If you can't find QuickBooks Web Connector in control panel, delete the QBWebconnector folder in the following location:C:\Program Files(x86)\Common Files\Intuit\QuickBooks\ or C:\Program Files\Common Files\Intuit\QuickBooks\

How to add an application to Web Connector

  1. On your Web Connector, click Add Application.
  2. Browse to the third party application's .qwc file.REMINDER: The .qwc file will be provided to you by the third-party web application's provider. This file must be downloaded to your computer.
  3. Select the .qwc file and click Open.

How to prevent QuickBooks Web Connector from opening when starting the computer

If you are not using Web Connector, you can remove it from the Windows Startup Group to prevent it from running every time you start your computer. Remember that removing the shortcut from startup may disable any application that uses web connector to communicate with QuickBooks.
  1. Open the startup folder.
    • Windows 10 and 8
      1. On your keyboard, press Windows+R to open the Run window.
      2. Type in shell:startup and click OK.
    • Windows 7
      1. Click the Windows Start button and click All Programs/Program.
      2. From the programs list, select Startup.
  2. Right-click QuickBooks Web Connector and select Delete.
  3. When prompted to Confirm Shortcut Delete, click Delete Shortcut.NOTE: If there is a need to add Web Connector to startup, copy and paste the shortcut to the following location:C:\Users\USER NAME\Appdata\Roaming\Microsoft\Windows\Startup Menu\Programs\Startup
