What isn't imported when you move from QuickBooks Desktop to QuickBooks Online?

Find out what data are not imported when you convert from QuickBooks Desktop to QuickBooks Online to help you decide if QuickBooks Online is the right fit for your business.

Most of your company data will be transferred when you move from QuickBooks Desktop to QuickBooks Online. Some of the information that won't be imported during the conversion process includes:

  • Reconciliation reports
  • Recurring credit card charges
  • Reports
  • Audit trail

To keep you up and running in QuickBooks Online, here are the details on how to prepare your information in each of the 4 categories.

Important: We don't recommend Quickbooks Online for QuickBooks Desktop users who need the following features:
  • Sales Orders
  • Fixed Asset Tracking with Fixed Asset Manager
  • Price Levels
  • Estimate to Actual Reporting
  • Balance Sheet by class for non-profit organizations that deal with Permanent and Temporary Restricted assets

However, if you choose to use QuickBooks Online, you may be able to find an App that can integrate these features with QuickBooks Online. Check out (currently available only in English) to see a full list.

QuickBooks Desktop data that won't be imported during conversion

Reconciliation reports

Save your reconciliation reports in QuickBooks Desktop to access them later. In QuickBooks Online, just continue reconciling where you left off. Check our Reconcile hub for a list of articles to help you with this task or watch the video tutorial on reconcile.

Recurring credit card charges

Cancel each existing Automatic Credit Card recurring charge from your Merchant Centre, and recreate it in QuickBooks Online as a recurring sales receipt.

Note: All other recurring transactions will be carried over.

Customized reports

Find a similar report in QuickBooks Online and customize it to your preference. Refer to Customize reports for detailed steps or watch the video tutorial on customizing reports. You can also go to (currently available only in English) for a list of reporting apps that can help your business.

Audit log

Your QuickBooks Desktop audit trail won't be converted, but all new changes going forward will be captured in the much improved Audit Log within QuickBooks Online.
