Create subaccounts in your chart of accounts

Learn how to create subaccounts in your chart of accounts in QuickBooks Online.

Create a new subaccount

In QuickBooks Online, you can create a subaccount under a parent account. This lets you break down your income, expenses, and other account types.

Note: You can create up to five subaccounts under one parent account.

Tip: If you use subaccounts to track different categories under one parent account, consider locking the parent account so transactions can only be posted to the appropriate subaccounts. This helps keep reports and sales tax mapping accurate.

Here’s how to get started:

  1. Go to All apps A bunch of numbers and letters on a tile wall., select Accounting, then select Chart of accounts (Take me there).
  2. Select New account.
  3. Enter an Account name. 
  4. Select an Account type, and then select the Detail type from the â–Ľ dropdowns.

  5. Select Make this a subaccount checkbox, then select the Parent account it should be under.

  6. If you select a Bank, Assets, Credit Card, Liabilities, or Equity account from Account type â–Ľ dropdown, enter Opening balance, and fill out the starting date in the As of field.
  7. (Optional) Add a Description to add extra information about this account. 
  8. Select Save. 


Change an existing account into a subaccount

  1. Go to All apps A bunch of numbers and letters on a tile wall., select Accounting, then select Chart of accounts (Take me there).
  2. Find the account you want to edit. 
  3. In the Action column, select the Account history â–Ľ dropdown. Then, select Edit.
  4. Select Make this a subaccount checkbox, then select the Parent account it should be under.
  5. Select Save.
