Use the Inventory Stock Status by Lot Number report in QuickBooks Enterprise 24.0

Learn how to track all of your inventory items grouped by lot numbers, using the Inventory Stock Status by Lot Number report.

You'll need to turn on Lot number tracking first, then you can run the report. Here's how:

  1. Go to Edit, then select Preferences.
  2. Select Items & Inventory, then select Company Preferences.
  3. Select Inventory and purchase orders are active.
  4. Select Advanced Inventory Settings, then select Serial/Lot No. & Expiration.
  5. Select Activate serial or lot numbers then select Lot numbers.
  6. Select OK.


Add Item with Lot number(s) and quantity

  1. Go to Lists and select Item List.
  2. From the Item dropdown, select New.
  3. From the Type dropdown, select Inventory Part. Enter the Item Name/Number.
  4. Select the income account you want the item to associate with and select OK.

To receive items,

  1. Go to Inventory and select Receive Items.
  2. Select the Bill Received checkbox.
  3. Select a Supplier or Add New to create a new one.
  4. Select Item.
  5. Enter the quantity, cost, and lot numbers for the item(s).
  6. Select Save & Close.


Use Lot numbers in sales orders

  1. Go to Customers and select Create Sales Orders.
  2. Select a Customer/Job or Add New to create a new one.
  3. Select Item to be sold.
  4. Enter the Ordered quantity and select the Lot number and the Rate.
  5. Select Save & Close.


Open the report

  1. Go to Reports and select Inventory.
  2. Select the Inventory Stock Status by Lot Number report.

Now you should be able to see the report with the item, the Lot number(s) it has, its Quantity on Hand, the associated Sales Order, and what’s available for each.
