Create an employee org chart in QuickBooks Online Payroll

Learn how to create an org chart in QuickBooks Online and share it with your employees who use QuickBooks Workforce.

The org chart in QuickBooks Online lets you view your reporting structure, assign managers, and see job titles, email addresses, and phone numbers. You can also share this info with your team by enabling the org chart in QuickBooks Workforce.

To get started:

Create your org chart

To create your org chart, you must first assign a manager to your employees.

  1. Go to Payroll, then Employees (Take me there).
  2. Select the Org chart tab then select Assign managers.
  3. From Manager ▼ dropdown choose your employee’s manager.
  4. Select Done.

Add a job title, email address, or phone number

  1. Go to Payroll, then Employees (Take me there).
  2. Select the Org chart tab then select View.
  3. Select Start or Edit on the section you want to update.
    • Phone and email: Go to Personal info.
    • Job title: Go to Employment details.
  4. Select Save.
  5. Select Org chart to see your changes.

Edit your employee’s manager

  1. Go to Payroll, then Employees (Take me there).
  2. Select the Org chart tab then select Assign managers.
  3. From Manager ▼ dropdown choose your employee’s manager.
  4. Select Done.

Show your org chart in QuickBooks Workforce

If your employees have access to QuickBooks Workforce, they can view other employees' info including names, profile pictures, job titles, email addresses, and phone numbers. To turn on the org chart in QuickBooks Workforce:

  1. Go to Payroll, then Employees (Take me there).
  2. Select the Org chart tab then select Show org chart in Workforce.
  3. Select Show org chart in Workforce.
  4. Select Include email addresses or Include phone numbers if you want to show this info to your employees.
  5. Select Apply.

Turn off the org chart in QuickBooks Workforce

  1. Go to Payroll, then Employees (Take me there).
  2. Select the Org chart tab then select Show org chart in Workforce.
  3. Remove the checkmark from Show org chart in Workforce.
  4. Select Apply.
