I'm changing the class structure of our books (QBO Advanced). Renaming and moving classes will affect the historical data. How can I keep a reference of the old file?

What if I want the old file for reference for a year? Do I have to purchase a second QBO account? Can I export the data or can Intuit keep a reference file? Your guidance would be greatly appreciated. Thank you!

I'm changing the class structure of our books (QBO Advanced). Renaming and moving classes will affect the historical data. How can I keep a reference of the old file?

You don't need to purchase a new QuickBooks account to access your previous data, Romina. Instead, you can save your old file by exporting the necessary reports and create a backup file.

 

Make sure to set the appropriate reporting period and customize the content as needed. Also, export key financial and transaction reports, along with the lists tied to your current class structure.

 

Here are the recommended reports you can export:

 

  • Profit and Loss by Class
  • Class List
  • Balance Sheet

 

Next, create a backup file to protect your old data. Please know that certain information won't be included in the backup. That said, I recommend exporting all the data that isn't captured in the backup.

 

To create one, follow these steps below:

 

  1. Go to the Gear icon, then select Back up company.
  2. Click the Run manual backup button.
  3. Select Complete Backup since you're going to change your class structure.
  4. Once done, click Back Up.

 

Finally, save the backup copy to your Google Drive to secure your file.
