Paid Home Depot via credit card for inventory items (no PO). When processing the receipt, I can't select inventory products. How do I update qty on hand?

We purchased inventory items from Home Depot using a credit card (no PO). The receipt appears, our bank feed gets updated. When I try to process it, I can only select expense accounts or non-inventory items — I cannot select Inventory-type products. This means qty on hand doesn't update. What's the recommended workflow to record inventory purchases when there's no Purchase Order? Do I need to enter it differently? THANKS!!

Hi there, Navpreet.

In QuickBooks Online, full inventory tracking with Inventory-type products (updating quantity on hand) is only available with the Plus and Advanced plans. If you’re using Simple Start or Essentials, you can’t record inventory purchases that update quantity on hand (QOH) directly from the bank feed; that screen only allows you to categorize transactions to accounts or use non-inventory items.

If you have a Plus or Advance account, you can track inventory without needing to create a PO just to update the quantity on hand.

Here's how to turn on the inventory tracking:

  1. In your QBO account, click the Gear icon and select Account and settings.
  2. Go to the Sales tab, choose the pencil icon, and toggle OnTrack inventory quantity on hand.”
  3. Select Save, then choose Done.

After turning on inventory tracking, you can record the quantity on hand (QOH) without creating a Purchase Order (PO).

Here are the steps to update the quantity on hand.

  1. Go to Bank transactions.

2. Match the downloaded credit card charge to the Expense or Bill Payment.

3. This would be reflected as Paid, and it will automatically update the Qty On hand.

4. To check if it updated, you can go to Inventory and verify if the (QOH) is updated.
