QBO Duplicate fetching bank transactions and missing transactions

Hi lynnphtr1,

Your transactions are an important part of your business. It's vital your transactions are updating so you can get ahead with your work. Rest assured, I'll be happy to give you a hand with this.

When you first connect your online bank and credit card accounts, QuickBooks Online downloads the last 90 days of transactions. QuickBooks automatically downloads new transactions nightly around 10 PM PT.

Based on what you've described, there are several steps you can follow to troubleshoot this. I've listed them below:

Step 1: Manually download your latest transactions

If you don’t see a transaction you expect to see, manually download the latest ones available.

  1. Go to the Banking menu.
  2. Select the blue tile at the top for the bank account you want to update.
  3. Select Update.

Feel free to keep working during the update. You’ll get a notification when it’s finished. Check your bank feed again for the missing transaction and categorize it into the correct account.

If you still don’t see it, learn what do when bank transactions won’t download.

Step 2: Check the Banking menu

If you can’t find a transaction you already downloaded, it may be stuck somewhere along the road. Check the Banking menu.

  1. Go to the Banking menu.
  2. Select the blue tile for the bank account you want to review.
  3. Select the For Review tab. This is where QuickBooks puts successfully downloaded transactions.
  4. If you find the missing transaction, categorize it into an account. Transactions won’t show up on your books until you categorize them.

Next, go to the Reviewed tab.  Look for your transaction and review the Added or Matched column - this lists the account you put the transaction into.

If you find your missing transaction and notice it’s in the wrong account:

  1. Select Undo from the action column. The transaction will go back to the For Review tab.
  2. Go back to the For Review tab and categorize it into the correct account.

Finally, check the Excluded tab. If you mark a transaction as personal or a duplicate, it goes here and won’t be added to QuickBooks.

If you find your missing transaction and want to add it to QuickBooks.

  1. Select Undo from the action column. The transaction will go back to the For Review tab.
  2. Go back to the For Review tab and categorize it into the correct account.

Step 3: Review your accounts

If you’re looking for an older transaction, review your bank account history.

  1. Select the Accounting menu.
  2. Open your Chart of Accounts.
  3. Find your bank account and select Account history.
  4. Look for the transaction on the list.

Step 4: Check your uncategorized accounts

If you don’t categorize transactions into a specific account, they go into either Uncategorized Income or Uncategorized Expenses. Check these accounts for your missing transaction:

  1. Go to the Accounting menu.
  2. Open your Chart of accounts.
  3. Find Uncategorized Income or Uncategorized Expenses.
  4. Select Run report.
  5. Look for your missing transaction on the report.

To move a transaction out of Uncategorized Income or Uncategorized Expenses:

  1. Go to the Banking menu.
  2. Go to the Reviewed tab.
  3. Find the transaction on the list.
  4. Select Undo from the action column. The transaction will go back to the For Review tab.
  5. Go to the For Review tab and categorize it into the correct account.
