We can manually open those historical transactions with tags and update them into custom fields, Sonia. I'd be happy to walk you through the process.
Starting May 16, 2025, tags will become read-only, and no new tags can be created. From May 16, 2025, to May 15, 2028, you can still view tags and generate reports for historical transactions.
After May 15, 2028, tags will be permanently removed from QuickBooks Online and no longer appear in historical transactions or reports.
To start, please migrate the tags to custom fields. Once done, you can follow these steps to update transactions with tags:

These are the key changes regarding the discontinuation of tags. If you have any other concerns about updating historical transactions in QuickBooks, just let me know in the comment section.
Hi, so in order to update the historical transaction’s custom fields that have been migrated from tags, it requires the user to manually open each transaction to update the custom fields one at a time? There is no way to mass update?
For example, if we have 1000 historical transactions that are tagged with 5 different groups of tags, it will require us to open each of the 1000 transactions and update the 5 new custom fields one at a time, that were migrated from tags?
I wouldn't be surprised if their product development leads to something "brilliant" and doesn't offer anything to smooth the transition on the customer side. You should consider to purchase a 3rd party service to migrate data to a new QBO account with custom fields as the last resort immediately.
Yes, Sonia, updating historical transaction tags into custom fields requires manual effort. I can see how important this feature can be, and I'll be happy to guide you in submitting this to our product engineers.
Currently, QuickBooks Online doesn’t allow for mass updates of historical transactions; you’ll need to open each transaction individually to update the custom fields one by one. While I know this process can be time-consuming, it’s the only way available to migrate historical transaction data into custom fields for now.
In the meantime, I encourage you to submit a feedback request directly within QuickBooks Online. Your input will be invaluable to our development team as they work to understand the needs of our users.
