Time Tracking for Employees

I just discovered that an employee can record their own timesheets through the app, i was unable to add them as a user through the manage user settings. Doing a quick search it seems this has been going on for sometime. I feel this is an attempt for quickbooks/intuit to pigeon hole us into a Tsheets subscription. Is there anyone who is currently using this feature and/or if they have added users to it recently? Ive tried all the solutions that i could find here. As well as reaching out to Intuit support.

Thanks for reaching out and sharing your thoughts about using the QuickBooks Online mobile app for tracking employee hours. I can explain what's happening and how to go about adding employee users for time tracking.

 

QuickBooks Online's mobile app is great for on-the-go work. An important thing to keep in mind when using the app is that it doesn't come with the full features of the program, just quick tasks that you can complete while away from a computer. One of the limitations of the app is adding time sheets and other information that could be related to payroll. Even when you add your employees to QuickBooks Online as time tracking users, those users won't be able to access the app.

 

Rather, time tracking users can login via browser to track their own time. This can be done on either a computer or using the mobile browser on their device. Once they save the data there, you should see it reflected in your books. Learn more here: How to turn on and set up time tracking

 

To add your employees as time tracking users, log in through a browser to access the Manage users section through the Gear icon. Make sure you're logged in with the correct permissions to be able to add a new user. The time tracking article walks you through adding a user who can track their hours, but here are a couple of other articles that can help you get familiar with the process and user types.

The option to add time tracking users is available in QuickBooks Online Essentials and Plus plans, so if you're not seeing the option to add them, it could be that you're using EasyStart instead. The easiest way to verify this is by logging in through a browser and following these steps to see your plan.

  1. Select the Gear icon.
  2. Choose Account and settings
  3. Select Billing & subscription.

This tab outlines your QuickBooks Online package. If you're not seeing it, it could be that you signed up through the Google or Apple store, in which case your subscription plan is automatically an EasyStart package. If you'd like to learn about upgrading, our support team can help you out as there are special steps to take when it comes to partner billing through Google and Apple. The other option is that you're under your accountant's billing, in which case, you'll want to touch base with them to ask about upgrading.

 

If you're on the right plan and still having trouble with adding a time tracking user, I recommend troubleshooting, such as clearing the browser cache, trying a private browser window, and trying another browser type all together. As a cloud platform, QuickBooks Online can sometimes run into trouble because of temporary files and browser issues, so this ensures they're cleared out.

 

If you're still running into difficulties, get in touch with a support agent for further assistance. I see you mentioned in your question that you reached out to them previously, but I encourage you to give it another shot. It's important to me that you're able to set up and use the features you'd like. I'll leave the details for reaching support at the end of my response.

 

As for TSheets, that's another great option that you can consider. I encourage you to choose whichever method works best for you and your business, whether that's QuickBooks Online's built-in time sheets or the TSheets app. Please keep in mind as well that neither time sheets nor TSheets work with Advanced Payroll, so if you're trying to use these with that version of the module, that won't be possible. Recording hours for Advanced Payroll is done directly in the pay run itself.

 

You can also consider other time tracking apps to see what suits your needs. Simply visit the Apps tab while logged in via browser and use keywords to start your search.

Thank you for the speedy response, I have tried all those resolutions, I am however awaiting confirmation from my accountant for the payroll subscription. Pouring through the searches, its disheartening to see so many have this struggle and the same response is given and many seem unresolved, at least from the forum side of things. Perhaps they are resolved and the threads are not closed properly. Hoping we can get this worked out.

I'm glad to hear you're checking in with your accountant about your subscription. When it comes to your payroll subscription, if that's also paid under your accountant's billing, then you're likely subscribed under Standard Payroll. Advanced Payroll's set up is a bit different and requires the employer banking info and other such details. Still, it doesn't hurt to check! While you're checking on that, I'll explain what's happening with the threads here in Community.

 

I see what you're saying about how having thread close out so you can more easily find relevant information when searching would be useful. It's something I'll bring up to my team as a suggestion. At this time, the way the Community works is that threads are always open for new comments from other users. This helps encourage sharing of information between users.

 

It could simply be that the other users on posts you came across didn't choose to follow up on their thread. Other times, users choose to pick a post as a solution, which then shows up as an Accepted Solution on the thread.

 

In light of that, I encourage you to share your resolution here once you've got this worked out. That way, others can learn from this thread. :)

Are there any updates to this issue?? This is incredibly frustrating as we run a service based business and have to manually enter every billable hour as well as use paper time sheets.....

 

Has anyone had any luck figuring this out.

Thanks for joining us here. It's important to me that your employees can clock in and out, so you can effectively track their hours. The first answer to this post goes over everything you need to ensure that both your feature and users are correctly set up. If that's the case in your account and you're still encountering issues, I'd recommend clearing the cache and cookies in the web browser used: Clear cache and cookies to fix issues when using QuickBooks Online. These are stored Internet files that build up over time, and they can bog you down or create errors.

 

Another good troubleshooting step to resolve these kinds of situations is to navigate in a private/incognito window or use a different browser compatible with QuickBooks Online. Hi

 

I'm fighting with this same issue.

 

Single or Weekly time entry on the mobile website has been disabled.

It's not available to the QB app.

 

Every service agent I've spoken to blithely informs me that all I need to do is download the QuickBooks Time app and everything I'm trying to do will be resolved.

This app requires a $30/ month base subscription plus $10/ employee/ month. For a small mobile service business like mine that has 5 employees, that adds up to an extra CA$960 / year for a functionality that i was ALREADY PAYING FOR with my QB Online Plus subscription until they disabled it.

 

That's not cool, Intuit.

 

I get your business model. You bought TSheets for $340 million and you need to monetize your existing customer base to support that acquisition, but this bait-and-switch of including time tracking on Essentials and Plus and then removing it from mobile is not cool.

We're not asking you to add anything, just remove the blocker pop-up to the time entry page so it works like it did before, when we signed up for the service.

The response above by my colleague @LauraAB highlights a lot of the information you need to know about this feature, including that it's not available for use on the mobile app, as you've mentioned. Your time tracking users will need to access QBO from an internet browser to enter their hours.

 

If your employees aren't able to access a computer to enter their timesheets, they can log in to QuickBooks Online through the internet browser on their mobile device. I can see how this might not be as straightforward as using the mobile app, but it's a workaround that'll still allow your team to track time with ease while on-the-go. It also means you don't have to resort to paying for a new subscription to QuickBooks Time, which I can assure you isn't necessary in this case. 

 

I hope you'll consider sharing these thoughts and suggestions directly with our product development team for consideration in future updates and improvements. This can be done by navigating to the Gear icon and choosing Feedback. I'll pass the word along to my team as well since it's important to me that our users can make the most of the features that they pay for in the way that they expect.

You may consider downgrading your plan to QBO Essential and having a 3rd party time tracker app to lower your total cost. I noticed one time tracker app offers CAD 62,5 /month for 5 users.

thanks for your response.

 

Unfortunately the advice you give is not accurate.

 

You're right in that it USED to be possible to enter a single time entry and weekly time sheet via internet browser on the mobile website.

This is now NO LONGER possible as that page has been blocked with a pop-up that says 'this page is better viewed on a big screen'. The pop-up is non-dismissable, effectively breaking this page and disabling this page/ feature.

 

My employees can now ONLY enter time sheets from a computer. Or pay the additional subscription for the QBTime app.

 

Which sucks for small businesses like mine : (

thanks for the tip, but we use the Projects feature that comes with Plus quite a bit. Unfortunately it's not included with Essentials.

It's helpful for tracking our landscape installation projects which often stretch over many months.

 

What was so great about the time tracking was that it's so instant and simple - we only need the basic info like name of the employee, which client/project they were working on and how many hours they spent there. 

By doing it directly on the phone as you're finishing on site the data is entered instantly, nothing is forgotten, or scribbled on a piece of paper in the work truck, or in a job book, to be transferred to the computer at the end of the week.

 

The system that intuit built is great for companies like mine, as that time entry feature allocated the time directly to a project, added a billable item to the invoicing for that project and allocated the hours for payroll.

All done in one entry, while you're finishing on a site for the day, before you start the truck and go home.

 

We've looked at using a third party app, but are running into 2 main problems- they offer tons of features, like employee scheduling, communication , etc which are cool, but we don't need any of them and we don't want to pay extra to have them. And secondly, they're not integrated with QBO, specifically the project profitability tracking and invoicing, so require transferring/ re-entering that info by a second person at a later date, doubling up on the work.

 

What's so infuriating is that all the features we need were built by intuit already, and they're awesome, but they've deliberately broken then now, to make it impossible to enter time info in any mobile/ non-desk-based way.

I noticed there is also a project management app with the time tacking feature. The cost is still the same for less than USD 50/month for 5 users. You can send the Estimate and Invoice from the app. It is possible you only need to use QBO Easy Start 8))

Im running into the same issue after hours of scouring the forums to try and find out how to have my contractors enter time sheets. I had to set them up as duplicates to make them "time tracking only " users and I run a mobile Physical Therapy business with 5 contractors. When testing this out, I logged in on my phones browser and we are unable to disregard the pop up that prompts us to log on to a bigger screen. So what is the solution for mobile businesses who want to have their invoicing, accounting, time tracking, and payroll all in one place? i.e the very reason why I decided to go with QuickBooks online in the first place??? This needs to be resolved so we can effectively run our business and it would be nice if there is an easy to find training video on how to set it up on the business end and showing the employee/contractor end instructions.
