Hey nikki-dt,

QuickBooks Online uses some advanced tracking behind the scenes to provide an accurate overview of the aging of your accounts payable. This is done by calculating the aging of each individual bill, to ensure you always know exactly how much you have owing. Since it's tracked separately from the balance sheet account, having unlinked bill payments can lead to situations like these. This can typically be resolved in just a few easy steps, and I'll be happy to help you with it.

While it sounds like you already compared the necessary reports, but it's always important to make sure you're comparing the same information. This is especially true for A/R and A/P reports, as the aging method has a huge impact on the results. Check out this handy article to learn how to setup your reports with the appropriate aging: How to get your Aging Reports to match

Otherwise, it's just a few simple steps to see if you have any unlinked transactions:

  1. Select the + New button and click on Cheque.
  2. Select the appropriate supplier as the Payee.
  3. You should be given a list of unlinked transactions in the right sidebar. Add them as needed, then click Save (the total payment amount should be 0).

With this, I'm confident you'll be all set to have your reports balance.

Let me know if there's anything else I can help you with!
