Hi terry-monteiro:

 

What happens when you try and access Account History? Do you not see the option in the Chart of Accounts screen, or do you see it and get an error when trying to use it?

 

If you don't see the option, it could be that you have a more limited login and will need your Quickbooks company owner to change your permissions.

Hi there Terry,

 

The ability to add, edit, and delete transactions or journal entries is an important function. QuickBooks Online is equipped with a few simple ways to locate and delete entries and as you've identified, viewing Account History is one of them. I want to explain why you're not seeing the option to view the account history for your expense accounts, as well as some other ways you can find and delete the journal entry in question.

 

The accounts that you'll find in your Chart of Accounts in QuickBooks Online are generally one of two types: Balance Sheet accounts or Income and expense accounts. A Balance Sheet account has its own register or account history to track transactions and balances, and include the following standard accounts:

 

  • Accounts Payable
  • Accounts Receivable
  • Bank
  • Credit Card
  • Equity
  • Asset, Current Asset, Fixed Asset
  • Other Current Liability or Long Term Liability

 

The other type of account found in QBO includes Income and Expense accounts. These are used to track the source of your company's income and spending. These accounts do not have their own registers. It's important to note that a bank register and account history are the same thing, which explains why you've been unable to view the account history for your expense account. The Action column in the Chart of Accounts will display Run report for these types of accounts which I'm confident you'll find just as helpful when it comes to deleting transactions.

 

Once you've run a report for an income or expense account, you'll see all transactions and journal entries that fall within the specified date range. In order to delete a journal entry or transaction while viewing an Account QuickReport, you can simply select any part of the transaction line to open it up, then click More at the bottom and select Delete.

 

If you know the date or amount of the journal entry that you're looking to delete, you can also use the Magnifying Glass icon located at the top right to search for it. This feature also shows you recent transactions so if you need to make changes to something you've just entered, this is an easy way to locate it again. Once you've found the journal entry by searching, use the same method to delete it as above.

Thank you for your prompt reply.

 

I did as instructed and ran the "Run Report" but do not see the "More" button at the bottom.

 

I am logging in as  "Master Admin".

Thanks for getting back to me Terry. It's important to me that you're able to get this journal entry deleted. Once you've run the report, select the journal entry that you want to delete by clicking on any part of the line such as the Transaction Type (journal entry), NameAmount or other. Once you've clicked on the details from one of those lines the journal entry will open up in a new window. That new window is where you'll find the More button in white text on a dark gray bar along the bottom of the window. When you click that button you'll see the option to Delete the journal entry. Let me know if you have success with this!
