Custom Reports :Transactions by Account - how do we format to get only the sums per account?

Good Mor-afternoon! (oops - it goes so fast...)

 

I am having a problem with the custom reports, and maybe you can help. Here goes:

I do my payroll manually, trough chequing, with all the liabilities and expenses accounts listed - and I've done this for the past 15 years without a hitch. Well, until my computer died and I needed to go from QB2006Pro to QB2020Desktop Pro.

All right, back then when preparing my summaries for the T4&R1 prep, all I had to do was run a report that gave me the amount per account (rows) per employee (columns).

I thought it would be fairly easy to recreate the same sheet of summaries with the QB2020 - but noooo....

 

All right, here is what I did: Custom Summary Report, dates from Jan 01 till Dec 31st 2020, selected my accounts for both the liabilities and expenses for the rows (multiple selection), and my columns are the active employees (multiple selection).

 

The report I get is fine for the rows - except that it included the "Bénéfices non-répartis" (retained earnings), and fine for the columns - BUT: the amounts I get in the Liabilities are the accumulated amounts throughout the years of employment instead of that selected year! (The expenses part is fine).

 

If I use the Custom Report Transactions by Account, using as filters the custom dates, and selecting the name of an employee, I get all the transactions per account - and the list is fine. My point is that I would love to only get the totals for each account for the calendar year selected.

 

Is it feasible? I could before with the older version - I should with the new too, no? I would love to use a summary sheet to annex to the yearly T4&R1 filing.

It sounds like you're looking for a report to pull some very specific data, in order to manually calculate your payroll remittances. You've done a great job navigating the reports section in QuickBooks Desktop to try your hand at customizing a few of the existing reports, but from what I can tell, you haven't quite found the right fit. I want to point you in the right direction.

 

I can glean from your post that you've tried a few different existing report options, but I'm not entirely clear on the exact data you're looking to pull. Checking with your accountant or a QuickBooks-certified ProAdvisor might be the best way to determine if there's a report you can pull to get the right information. An accountant might also be able to advise you of a different way to pull the relevant details. I'll put this in the thread since it may help others along the way:

Note that I have removed info pertaining to the real person - it is sensitive info after all...

 

Here is a transaction journal of a typical pay, and it lists all the posts ordinarily used. I leave them in even if it is zero when the case arises.

Continued :-)

 

Ok, now that the year is finished, I need to produce this kind of report (attached).

Now please note that this was not produced using a Payroll module - It was produced using the setup. I never had the Payroll option, ever. I could also reproduce it via the Custom Reports. This was back when I used QBPro2006 (the French version - as we function in French)

 

So... I need to tally all the transactions from the pays issued throughout the year.

 

How do I do that?

Oh - and of course, it needs to be compiled per employee, with the total...

 

But I guess you knew that... LOL

Thanks for getting back to me with those additional details @Mouselette. I have a better picture of what it is you're looking for now. What you're looking for is a very specific report customization from an obsolete version of QuickBooks Desktop, and you won't be able to pull those exact details using your current version ofQuickBooks Desktop. I know that you're familiar with the process of submitting feedback, so this is another instance where I suggest you do that. You won't hear back from our product development team, but they take these suggestions into consideration for future updates and product improvements. As I suggested previously, you might find that working with an agent over the phone or chat in real-time is a better way to figure this out as they'll be able to walk through the process of creating a customized report with you. Don't forget that you also have the option to export reports to Excel so that you can manipulate the data yourself. If you've come across a report or two that sort of meets your needs, you can combine the two together outside the program.
