Can I change the auto filling in a Journal Entry? It's time consuming to have to delete the content each time it's a different entry.

Hello CJMacRury,

Welcome to the QuickBooks Online Community! I'm glad to have you with us and I'm here to help you get back on track with recording your journal entries in the program. I know how needing to remove pre-populated information can be take time better spent entering transactions and I want to make sure this is sorted out.

QuickBooks Online has pre-fill options for your forms, but this shouldn't be touching the journal entry setup as it's different from other transaction types. I'll leave the steps below for checking that just to be sure, but the first thing I'd like you to consider is how you're saving your journal entries. For instance, if you're entering a number of them back-to-back, it's important to be selecting Save and new rather than just Save.

Clicking Save does save the content, but keeps you on the same transaction. So in doing that, when you then delete the information on that form and then re-enter and save again, it overwrites what you just had. This doesn't enter new transaction, but instead just keeps editing one you've already created.

If you are clicking Save and new and still seeing the information populate itself again, the next troubleshooting step I have for you is to clear your browser or app's cache. This ensures temporary Internet data is cleared out and doesn't affect how the program is running. You can also try another browser or a private browser to make sure of this as well. Learn more here: How do I clear my cache and temporary Internet files?

To verify the automation settings I mentioned, follow these steps.

  1. Select the Gear icon.
  2. Choose Account and Settings.
  3. Click Advanced from the left menu.
  4. Find the Automation section and click the small pencil icon to edit it.
  5. Make sure the box  Pre-fill forms with previously entered content is not selected.
  6. Hit Save.

If after all that you're still seeing the information populate itself on the form, get in touch with our support teams directly. They'll be able to take a closer look at what's going on and help you get back on track.
