How can I create a common Username ID and password to allow my condo owners to VIEW only some financial reports? I am the Accountant of a condo association.

Hi there,

Being the Accountant of a Condo Association sounds like an exciting career! I want to make sure QuickBooks Online helps your business succeed, while saving you time and keeping you organized. I'd be happy to explain the steps on how to create a "Reports Only" user.

There's different user types in QuickBooks Online. You can give employees (or users) specific access to transactions, reports, and other features. It sounds like you're interested in setting up a "Reports Only" user with read-only access. This kind of user can see all reports, except the Audit log and those that show contact information. They can also create custom reports and add report groups, but they can't view the actual transactions.

Here are the types of users you can set up, depending on your QuickBooks Online subscription:

  • EasyStart plan only has a master admin.
  • Essentials plan has master admin, company admin, standard, and time tracking only user types.
  • Plus plan has master admin, company admin, standard, reports only, and time tracking only user types.
  • You can invite 2 accounting firms in all QuickBooks Online plans.

Note: Reports only and time tracking only user types don't count towards your user limit.

For more information on user types, check out this link: Learn about user types and permissions in QuickBooks Online.

To set up a Reports only user, take a look at this article: Add, delete, or change user access.

I hope this helps get you back on track. Let me know if you have any other questions.

Cheers.
