Different Invoice templates for different service lines in same business

I've seen the thread about this that was marked as "Solved" (https://quickbooks.intuit.com/community/Reports-and-accounting/Change-numbering-format-for-invoices-...), but still have this same issue: I would like my Sales Receipts to have a different numbering pattern from my Invoices.

It seems QBO uses the same system for both (I do have custom numbering turned on). So both the prefix AND the number sequence get set to the same thing.

 

For example:

  • Create a Sales Receipt and make the number  SR-1001
  • Save and close the sales receipt
  • Create a new Invoice... the number that is shown is SR-1002
  • Change the Invoice number to IN-1001, save & close
  • Create a new Sales Receipt... number shown is IN-1002

Is there no way to configure custom numbering & prefixes based on the type of document?

It's great to see you again. I appreciate the link and examples of what you're trying to do and have tried. The link you've shared is from our US community, but I've confirmed it's also possible in QuickBooks Desktop Canada.

 

I can see how the system you're looking for would be useful with numbering and keeping track of your sales forms. This function isn't available in QuickBooks Online. While QuickBooks Online and QuickBooks Desktop work similarly, they don't have all of the same functionalities, which is why it's available in one and not the other. 

 

In QBO, sales forms — whether sales receipts, invoices, or otherwise — are each linked in the numbering system. That's why you're seeing your changes reflect across both sales receipts and invoices. QuickBooks recognizes them as the same kind of form, so it continues with the sequential numbering from the last one entered. The How to change the invoice number on sales forms for QBO talks about how it works in a little more detail.

 

I recommend leaving feedback for our product developers about this through the Gear icon in your account while logged into a browser or via the QBO desktop app for Windows or Mac. I'll also pass the idea on to our team for consideration.

Thanks, Laura. I appreciate the quick response... and assumed that was the issue with QBO, but just wanted to be sure there wasn't something I was missing.

 

I'll take your advice and leave feedback about this... and hope it comes out in a future release.
