How do I search by invoice number on QBO? I don't want to have to scroll all the numbers everytime.

Hi there,

 

It's good to have you post in the Community. I'll be happy to help with sharing info about searching using just the invoice number. 

 

Just for reference purposes, here are the steps to searching for transactions in QBO:

 

  1.     Select the Magnifying Glass on the Toolbar.
  2.     Enter the date, amount, or transaction number you’re looking for, then select the desired transaction.
  3.     If the transaction you're looking for does not appear on the results list, select Advanced Search.
  4.     Adjust the filters to find the type of data you want. For example, use the following filters to find all transactions from the past 30 days with a value of $100.
  •         Change Reference no. to Last Modified Date.
  •         Change Today to Past 30 Days.
  •         Select Search. This should give you a list of transactions that meet your filters.
  •         Narrow the list by changing Last Modified Date to Amount. Choose Equals from the second drop-down, then type 100.
  •         Select Add Filter. 

To make the search easier, you can search up the invoices associated with that customer searching using the customer's name: 

  

Search by Customer Name

  1.     From the left menu, select Sales, then Customers.
  2.     Select a customer to view the transactions.

If you're still having issues with searching. I recommend clearing cache and cookies on your browser. Doing this will help fix most issues the site may be having. Give this a try and let me know what happens.

Thanks for responding but you didn't actually answer my question.  I know how to search transactions, I just want to be able to enter an invoice # from the sales page and have it pop up. Even if I could enter it in the filter box, but it doesn't seem to have that option.  It requires scrolling down my long list to find the invoice every time.  There should be an option to just enter the invoice #.

I see what you're saying. At this time, you can only search for transactions using the transaction number or date. I know how useful this feature is to you and I encourage you to send feedback to our engineers. To do this, click the gear icon and look for Feedback. New product ideas and improvements are largely based on the feedback we get from other users like you.

has this feature been added, I need it too. I used to use it all the time on Quickbooks Desktop!

If not, how do I raise this with your developers to put on a long list of features to add?

I know how handy it would be to have the option to search for your invoices by the invoice number directly from the sales page. A few other users have expressed their desire for this feature as well, however at this time it hasn't been implemented in QBO.

This can be done from the search window.  However, you need to select "Advanced Search" at the bottom right of the window.  That opens a search box.  Scroll down to select invoices.  Then you can choose to search for a specific invoices or invoices that contain certain numbers, etc.  Hope it helps.

They have since implemented this capability without having to do an advanced search. The steps are:

 

1. On any screen, click on the magnifying glass on the upper right.

2. For "Search," change the drop down from "All Transactions" to "Invoices."

3. Below that, change "Amount" to "Invoice no."

4. Next to that, if desired, change "Contains" to "Equals."

5. Enter the invoice number and click "Search"

 

You can also look for the invoice number while on the sales page by clicking on the "NO." column and that will sort invoices in order by invoice number so you can scroll to the invoice fairly quickly. But I prefer the above method above instead.
