I would like serial number to come up in my invoice

Good day to you, info160.

Entering the serial number (SKU) is available in all QuickBooks Online versions. To be able the serial number to come up in your invoice, you'll have to manually enter it to the Product/Service information page.

Here's how:

  1. Go to the Sales tab, then choose Product and Services.
  2. Click the Edit link for the product or services that you wanted to add the serial number.
  3. Enter the serial number on the SKU field, then Save and close.

In addition to that, SKU will only appear on a previewed invoice if you're using the Airy form.

  1. Click the Gear icon and then select Custom Form Styles.
  2. Look for your current form style and click Edit.
  3. Under the Design tab, click Change up the template and then choose Airy classic.
  4. Go to the Content tab.
  5. Click the edit (pencil) icon on the second table.
  6. Put a check () mark on the SKU box.
  7. Click Done.

Moving forward, the SKU column will display on your invoices.

Know that the QuickBooks Community team is always here for you. Take care always!

I would like serial number to come up in my invoice

That's doesn't answer my query, unfortunately.

If I have 10 items to invoice and as I enter the 10 items an automatic serial number would follow..or if that is not possible..then I would be happy if I can have a column where I could enter the serial number manually.

A serial number does show up while making the invoice but it does not show up in the invoice.

Thanks for getting back, info160.

Once you've entered the serial number in the SKU field in the items information, it should also display when previewing the invoice.
Remember that invoice template should be set to Airy style. Here's how to check if you're using the correct invoice template:

  1. Open the invoice
  2. Click Customize at the bottom menu and make sure you're using the correct template.
  3. Change the template if necessary.
  4. Click Save.

If you still need to set up the invoice template, you can follow the steps in my initial reply.

I've also added screenshots as your guide.

Also, adding a column for manually entering the serial number is unavailable in QuickBooks Online. I will share this information to our development team as well.

You can always reach out to me if there's anything that I can help.

@gordan ,

Consider using an inventory management app and integrate it with QBO to track every single S/N of your products. Otherwise, you have to put the S/N manually in every invoice only as a note.

I would like to manually enter a part number under the SKU column on my invoices.  Please explain to me how this can be done.

I would like serial number to come up in my invoice

Hi Dusty G,

Thanks for jumping into the conversation! QuickBooks Online gives you the option to add SKU numbers to your inventory items, and you can display this information by following the information given above. Entering the SKU information in your product/service page will allow you to display it in the designated SKU column on your invoice.

In order to manually add a SKU to your items when you create your invoice in QBO, you'll need to enter the information into the Description column, rather than the SKU column. The SKU field doesn't allow for manual entry, as this is the field that pulls information directly from your inventory data.

I can see how having the option to manually enter SKU numbers when creating your invoice would be handy. I'd suggest submitting feedback about this to our product development team by clicking the Gear icon > Feedback

I hope this clarifies things so you can get back to work.

Cheers.

I would like serial number to come up in my invoice

So i have a same query.

for example

1) I sell motors, the type of motor is called model X and the sku for Model X is X123, now i have 50 of these  same motors and they have a different serial numbers like AF123, AF234, AF665 etc.

There is difference between a SKU number and serial numbers.

2) Then i would like to know how to print a list of only one type of sku, along with the serial numbers.

Thank you

Hi AM35. Welcome to the Community. I'd be happy to share information and make sure you're on the right path. To make sure we're on the same page, what type of list are you looking to print? Is it a report you're referring to? Feel free to elaborate. I'll be on standby.

I would like serial number to come up in my invoice

Hi SuperStar777. The serial numbers will be displayed next to the product/service selected on that line item. If you enter your products/services in chronological order based on serial number, the serial numbers will display in order. That being said, if you enter Products 1-4, QBO won't rearrange these items to display chronologically based on serial number. Essentially, however you choose to enter each line item is how the system will recognize the invoice regardless of other information.

so what is the solution then ? if i want to display serial number based on the number of lines in the invoice.

if i entered 10 lines/products 1 to 10 should display automatically without any link/SKU or manual entry.

My mistake, I may have misinterpreted your question initially. The invoice will display the items as outlined in your example above.

Like this:

1. Product 1 - SKU 123 - Amount

2. Product 4 - SKU 223 - Amount

3. Product 2 - SKU 323 - Amount

4. Product 3 - SKU 423 - Amount

I would like serial number to come up in my invoice

Hi, As the request for adding serial number to any form was made here in early 2019, still the issue hasn't been solved and its end of 2020.

Any idea how long it may take to resolve this issue?!

The general forms are looks like suitable for timer based freelancer service providers. But for Real time product based business user Quickbook should make some standard forms to resolve general item based issues.

I would appreciate if you could suggest us any solution about how to include rows in general forms.

I would like serial number to come up in my invoice

Hi there MdFarhan,

Thanks for joining the QuickBooks Community. You've made a great choice using QuickBooks Online to do the books for your small business. I know that including serial numbers as well as SKU numbers on forms is crucial for many businesses, so let me go over this with you.

While there isn't an option to add a column for serial number, you do have the ability to edit the item Description for each line. You can tack the serial number on to the end of the existing description so that it shows on your forms. Do this by selecting the field and entering the appropriate information.

I can see how including the serial number as a Product/Service identifier, as well as having a specific column for it on forms could make doing your books a little easier, so I'm going to pass your feedback along to my team. I encourage you to submit feedback directly to our product development team as well by navigating to the Gear icon, then selecting Feedback. Hearing from customers like you helps them to prioritize the features and additions they make to our product so it's important to have your say.

Enjoy your day!
