It sounds like you're using the option to create Estimates or quotes in QuickBooks Online. This is a great way to come to an agreement with your customer on the services that you're going to provide or products you're going to sell them, and at what price. Once it's been agreed upon by both parties, you can convert that Estimate into an Invoice. You're looking for a way to see how much you're making from each Estimate, and I have a couple suggestions.
If you navigate to the Reports menu in QuickBooks you can use the search field to type Estimates. This will produce two results if you're using QuickBooks Online plus: an Estimates & Progress Invoicing Summary by Customer report and an Estimates by Customer report. The first shows you Estimates sorted by customer. the amounts that you've invoiced your customers for, and the remaining amounts that you have left the invoice. The second report will simply show your Estimates organized by customer and whether they've been accepted or invoiced.
If you're looking for something a little more specific, the manipulation you're doing in Excel is likely the best alternative for the time being. You're welcome to submit feedback on this though, so that our product development team knows it's something that we're missing. Do that by navigating to the Gear icon, then choosing Feedback. So there is no way in Quickbooks online to calculate the amount of profit being generated by an estimate?
