What kind of business do you run? Consider having a CRM or project management app with the the Estimate and Invoice feature to integrate with your QBO account. You don't need to give any QBO access to your sales team.

I know how employees in your business may have specific roles and tasks that they need to accomplish, so giving them access to only the area they need makes sense. It's also a good way to prevent mistakes from happening with data entry. I'd be happy to clarify QuickBooks Online's user access options with you so you know how to move forward with your sales staff entering estimates in the program.

 

QuickBooks Online comes with a few different user roles, including admin roles, standard user roles, and more. While standard users do have some customization options, what you're looking for with setting up a user to only work with estimates isn't currently available for this version of the software. What I recommend is submitting feedback to our product development team using the steps outlined here: How do I submit feedback? This gives you the opportunity to let our product team know what sorts of changes to QuickBooks Online would benefit your business. The team takes these comments into consideration when updating the features in the software. You can keep up to date with new features here: QuickBooks Online Feature and Product Updates

 

In the meantime, you can also consider using a third-party or partner app for estimates that your sales staff has access to for that purpose only. Third-party apps and partner apps can sync with QuickBooks Online, so in those cases the estimates would still load into the program with your other data. You can use the Apps tab in QuickBooks Online to search available partner apps and you can also do research outside of QuickBooks Online to see what other integrations may be available.
