Automate recurring tasks with customised automations in QuickBooks

by Intuit•1• Updated a day ago

Learn how to build and manage your own AI automations in QuickBooks Online and Intuit Accountant Suite (IAS) using Intuit Intelligence.

Customised automation feature turns a recurring task into an automated task that runs on a schedule. You describe the task entirely in plain language, and Intuit Intelligence sets it up for you. Once a task is created, you can see and manage every customised automation from Automation hub.

Notes:
  • This feature is currently in beta. That means it's still being tested and refined, so you might notice some things change as we improve it.
  • For Accountants: To use Intuit Intelligence feature across your client base, your firm must be on the Intuit Accountant Suite (IAS).

How customised automations work

  • Describe a recurring task in plain language. For example: "Summarise my sales every Monday." Intuit Intelligence turns it into an automation that runs automatically on a schedule.
  • Or start from a ready-made template and customise it to fit how your business works.
  • Automation hub shows every Custom automation you've set up, including whether it's running, paused, or has hit an error. It also keeps a full audit log of every run. Intuit Intelligence also suggests automations based on how you use QuickBooks.
  • Automation hub can only use functionality that already exists in Intuit Intelligence. Intuit Intelligence's capabilities are expanding over time, so more types of automation will become possible as new functionality rolls out.

Manage your customised automation

  • View a full audit log of every run.
  • Customised automations can be deleted or edited at any time.

Tips for describing a customised automation

Because you describe the customised automation yourself, being specific helps Intuit Intelligence set it up correctly.

  • State how often you want it to run: daily, weekly, or on a specific day.
  • Name who should receive the output, if relevant. For example, emailing you a summary.
  • Mention any conditions. For example, only flag invoices more than 30 days overdue.
