Merge duplicate customers in QuickBooks Online
by Intuit•6• Updated a day ago
If you have duplicate customer profiles, merge them to keep your customer list organised. Merging combines data from two profiles into one.
When you merge customer profiles, all data from the duplicate profile is moved into the profile you want to keep. The duplicate profile will become inactive. This action is permanent and can't be undone.
Prerequisites
Check that neither customer has sub-customers before you merge them. If they do, change their sub-customers into regular customers. Sub-customers include projects linked to the customer. Make sure you remove the projects or sub-customers from the customer so you can merge them.
Prepare to merge customers
Before merging, decide which customer profile you want to keep and which is the duplicate.
To avoid confusion during the merge process, edit the display name of the duplicate profile you intend to remove. For example, add "duplicate" or "dupe" to the name.
Merge the duplicate customer profiles

- Select and open the customer profile you don’t want to keep.
- Select the dropdown next to Edit and select Merge contacts.
- Change the Into to be an exact match of the duplicate customer profile you want to merge.
- Select Merge contacts.
Note: The system saves the merged customer as inactive, like all deleted customers. Their transaction history will be empty even if you make them active again. Learn how.
The system also deletes the merged customer from your records and adds their transactions to the other profile’s transaction history.
