Enter a single time activity timesheet in QuickBooks Online

Learn how to enter a single timesheet in your QuickBooks Online.

This is useful for your business when entering or editing a single day or event at a time. If you need to enter a weekly timesheet, get more help here.

Note: Timesheets only allow a single hourly rate.

Depending on the role you've set in QuickBooks Online, you may or may not see certain fields.

What you should do?

  1. Select + New.
    Note: You can also access Time activity from Expenses or Projects if included in your plan.
  2. Under Team, select Single time activity.
    Note: To change the fields displayed, select Settings ⚙ beside the close icon Image Alt Text
  3. In Start date, enter the date the activity occurred.
    Note: The current date is automatically entered in the date field, but you can change it if needed.
  4. From the Name dropdown , select the name of the employee or supplier.
  5. If you want to bill the activity to customers or track expenses for them, select Customers/Project from the dropdown ▼.
  6. Complete the following optional fields:
    • Location
    • Service: If you use services to enter time, select a service that represents the activity.
    • Class
    • Pay type
    • Cost rate (per hour)
      Note: If you don't see the fields, they are turned off. You can go to Settings ⚙, select Account and settings, and turn them on from their respective sections.
  7. If you want to bill the activity to the customer, select the Billable (per hour) checkbox, then enter the rate per hour.
    • When a timesheet is marked billable, you can add that time to invoices.
    • Billing rate can be updated through the employee’s profile.
    • To turn on the Billable (per hour) option:
      1. Go to Settings ⚙ and select Account and settings.
      2. Select the Time tab.
      3. In Timesheet, select the edit icon Image Alt Text, then turn on Allow time to be billable.
      4. Select Save, then select Done.
  8. Select the Taxable checkbox, if applicable.
  9. Enter the number of hours and minutes worked in Duration. Alternatively,
    1. Turn on Set clock in and out.
    2. Select a Start time and an End time.
    3. Optionally, to record the time taken for break, select Add break and enter the number of hours and minutes taken as a Break.
  10. In Notes, enter a description of the activity.
    Notes:
    • If the activity is billed to a customer, the description appears on their invoice, depending on your company Settings ⚙.
    • If you select a Service (optional), the description appears automatically, provided it has been added while creating the service.
  11. Once you're done, select Save or Save and close.
