Customise sales forms in QuickBooks Online

Notes:

Company info changes, like your logo or address, affect all future invoices and estimates, as well as customer info throughout QuickBooks.
Your templates can’t contain different company info.

Customise your forms

Edit your sales form’s appearance. Just open a current sales form or create a new one.

To create a new sales form:

Select + New or + Create.
Select Invoice, Estimate, Sales receipt or any other sales form.

Edit the following as needed:

Edit company info

Select Edit company.
Note: This option is available only for Modern template.
Make changes, then select Save.

Edit logo

Select the edit icon on the logo.
Note: This option is available only for Modern template.
Select Upload.
Select an image from your computer.
Select Open.
Select the three-dot icon, then select Use as primary.

Note: If you aren't able to see Edit company and Logo, select ⚙ Manage, then select Design. Select Modern from the Modernised template.

Edit fields

Select ⚙ Manage.
Select Customisation. Toggle the fields on or off.
Note: The available fields are:
- Ship to
- Service date
- Product/service
- SKU

Edit appearance

Select ⚙ Manage.
Select the Design section. Select the template to use. If you select Modernised template, select the font and colour.
Note: When you add a logo or layout to your custom templates, it won’t change other sales forms.
You can edit a template or add a new one.
a. Go to Settings ⚙ and select Custom fields.
b. Select Add field or Edit.

Select Print or download, then select Print or Download to see what your form currently looks like.

Note: When you turn on Service date, QuickBooks adds a date column to each product or service line on the form. Use it to record when each item was actually delivered, separate from the invoice date. On printed invoices, this column appears as Date.

Set a custom default template

Select + New or + Create.
Select Invoice, Estimate, Sales receipt, or any other sales form.
Select Manage ⚙.
Select the Design section.
Select Remove default from the Modernised template section. The default template will be the standard template.
Note: Select Add/Edit to edit the standard template. In the Custom form styles page, select Edit from the Action column to update the template as needed.
Select Done. This new (Standard) template will now be your default.

Note: You can only set the standard template as default. You can’t edit the modernised template.

Adjust column width and change names for sales forms

Go to Settings ⚙ and select Custom form styles.
Select the New style ▼ dropdown, then select a form.
Note: You can also select Edit on an existing template.
Select Content.
On the visual preview, select the section of the form that shows a list of products.
Select EDIT LABELS AND WIDTHS.
Use the sliders to adjust column width.
Check each column you want to show.
Note: You can change the name of each column.
Select Done.

Change default company logo and contact info

Go to Settings ⚙ and select Account and settings.
Select the edit icon on the logo.
Select Upload.
Select an image from your computer, then select Open.
Select the three-dot icon, then select Use as primary.
Select Edit on each field to update the Company info as needed. After making changes, select Save for each field.

Add custom fields to your forms

Go to Settings and select Custom fields.
Select Add field.
Note: If you are creating a custom field for the first time, select Add custom field. If you want to edit an existing custom field, select Edit from the Actions column.
Enter the name in the Name field and select a data type from the Data type ▼ dropdown.
For the category, select Transaction.
Select the forms you want the fields to show on.
Note: You can toggle Print on form for each form.
Select Save.

Change default fields

Go to Settings ⚙ and select Account and settings.
Select the Sales tab.
In the Sales form content section, select the edit icon .
Select which fields you want to include, then select Save.
In the Products and services section, select the edit icon .
Turn Show Product/Service column on sales forms and Show SKU column on or off.
Select Save.
