  6. You will be redirected to the Review your app settings page in QuickBooks. Review and complete the following app settings:
    • Add transactions automatically: Turn this on to automatically add high-confidence transactions (such as downloaded bank or credit card transactions) to your books. You’ll find them in the Categorised tab under Integration transactions.
    • Deposit account: The bank account where Amazon sends your payouts.
    • Payment account: This is the account (usually a credit card) used to pay any balance you owe to Amazon.
Note: You can change these later by selecting Settings in the Amazon tile.
  7. Select Approve to authorise Amazon to send data to QuickBooks.
  8. Select the date you want the app to start importing orders from. Select Done.
Note: Transactions import in batches and may take between 10 minutes to 3 hours, depending on the volume. You can import up to 12 months of transactions.
  9. After reviewing all settings on the Review your app settings page, select Sync now to finish the connection.
  10. Once connected, select Go to Integration Transactions.

Note:

  • QuickBooks integration with Amazon Seller Central keeps buyers’ personal details private.
  • QuickBooks Online can’t import individual Amazon customer records. Instead, all Amazon transactions are linked to a single, generic Amazon customer profile, which you can update when reviewing transactions.

Track and match products

Track and match each Amazon product to a product you already have in QuickBooks.

Note: Turn on Product tracking in your Amazon settings to track products from your Amazon sales and refunds in QuickBooks Online.

If QuickBooks can't find matching products

How Amazon products match to QuickBooks products depends on how you set up your automatic product settings.

  • If Add products automatically is on: QuickBooks creates a new product automatically and maps the Amazon product to it.
Note: QuickBooks may not create a new product if it finds a partial match with an existing one. If you need to, you can create a new product in QuickBooks and map it to your Amazon product.
  • If Add products automatically is off: QuickBooks uses a generic product for this transaction. You can map your Amazon product to an existing one in QuickBooks, or create a new product and map it.

Match Amazon products in bulk

  1. Go to the Product tab to map multiple Amazon products to products in QuickBooks Online.
  2. Go to the Unmatched tab to view any Amazon products from your transactions that need to be connected.
  3. Select the correct QuickBooks product from the dropdown menu for each item, and then select Save.
Note: After you save, transactions in your For review tab will update with the right QuickBooks product. Review and add them to your books.

Use the app

Check and manage your Amazon sales under the Integration transactions tab. Transactions are organised into three tabs:

  • For review: Contains imported transactions that need your attention before being added to your books.
    • Confirm: Transactions with complete information that can be added quickly. If auto-add is enabled, many transactions bypass this step.
    • Review: Transactions missing details like customer name, product name, or account mapping. Enter the missing info, then confirm the transaction.
  • Categorised: Transactions imported and added to your QuickBooks books. These transactions appear in your reports.
  • Excluded: Transactions imported but manually excluded by you. These transactions do not affect your books or reports. The app does not automatically exclude transactions.

Understand transaction types

  • Payment Received: Individual sales transactions (card, cash, gift card, etc.). The payment type is noted in the description. Details like fees, gross amount, shipping, discounts, taxes, and products/services are imported. Select Review or the transaction row to view details.
  • Refund: Individual refund transactions. Details like amount, taxes, and products/services are imported.
  • Payouts: Disbursements from Amazon, typically covering sales over a 14-day period (or shorter if selected). Amazon collects funds, deducts fees and adjustments, and sends the net amount to your deposit account. A payout includes multiple sales and  adjustments from that period.
    • Included transactions: View each sale in your payout and its status (For review, Categorised, or Excluded).
    • Funds in this payout: Review the adjustments Amazon made. Some are mapped to accounts automatically, while others need you to select where they go.
Note: You can update how payouts are mapped at any time."

Reconcile Amazon transactions in QuickBooks

Follow these steps in order for correct reconciliation:

Step 1: Review and confirm individual transactions:

  1. Go to All apps A bunch of numbers and letters on a tile wall., select Accounting, then select Integration transactions (Take me there).
  2. Confirm transactions listed with the Confirm action.
  3. For transactions listed with the Review action, enter any missing info (customer, product, etc.) and then confirm them.
  4. When a Payment received transaction is confirmed, QuickBooks creates a Sales Receipt (for sale details) and an Expense (for fees). Both are recorded in the Undeposited Funds or Payments to deposit account.
Note: This account acts as a temporary holding account until the payout is processed.

Step 2: Review and add the payout:

  1. Go to All apps A bunch of numbers and letters on a tile wall., select Accounting, then select Integration transactions (Take me there).
  2. Ensure all individual transactions included in the payout show as Categorised.
  3. Ensure all adjustment lines in the Funds in this payout section have an account selected.
  4. Select Add (or Confirm) for the Payout transaction.
  5. QuickBooks creates a Deposit transaction that moves the net payout amount from Undeposited Funds (or Payments to deposit) to your designated Deposit account (the bank account selected in settings). This deposit automatically includes all the related Sales Receipts and Expenses confirmed in Step 1. Any adjustments from the Funds in this payout section appear at the bottom of the Deposit transaction.

Step 3: Match in bank transactions:

Important: If you don’t see a match, double-check steps 1 and 2 to make sure all transactions are entered correctly. Otherwise, reach out to support.

  1. Go to All apps A bunch of numbers and letters on a tile wall., select Accounting, then select Bank transactions (Take me there).
  2. QuickBooks will automatically match the bank deposit from Amazon with the deposit transaction you created in Step 2.
