How to set up e-Invoicing in QuickBooks Online - Singapore

E-invoicing empowers businesses to send digital invoices automatically, making operations smoother and more efficient by ensuring compliance with local laws, reducing administrative tasks, and reducing errors.

This guide will run you through the following steps to set up e-Invoicing in QuickBooks Online:

  1. Enable e-Invoicing
  2. Set up sales tax
  3. Update your customer records

Before you start

You’ll need the following information to flow through this guide:

  • Your Unique Entity Number (UEN)
  • Your Peppol ID
  • Your Corppass credentials (Singpass ID and Password)
    • Ensure your Corppass account is active and you have "Admin" or "Authorised Officer" rights.

Getting started with e-Invoicing

1. Enable e-Invoicing

  1. Go to Settings Settings gear icon. and select Account and settings.
  2. Select the Sales tab, then the pencil icon within the E-invoicing row.
  3. Select Enable, then select Save.

2. Set up sales tax

After enabling e-Invoicing, you'll be prompted to set up your sales tax. Select Continue to complete it now, or Skip if it’s not relevant to you, or you want to complete it later.

If you’ve selected Continue, follow these steps:

  1. Check the box that you agree to Intuit sharing your information with Fonoa only for the purpose of lodging your e-Invoices with IRAS.
  2. Select Continue. 
  3. Enter your business’ basic information, then select Continue.
  4. Nominate an InvoiceNow representative, and enter their details into the Representative Name and Representative Email fields. 
  5. Select Connect. 
  6. The person who’s details were entered above will receive an email with an activation link to complete set up. This link will open the Corppass portal.
  7. Enter your Singpass ID and Password, then select Log in. This will establish the connection between Corppass and QuickBooks Online, and you can now close the pop-up window.
  8. Return to QuickBooks Online, where you’ll see that you Corppass Connection status is Pending.
    • You’ll receive an email once the connection is fully established, as this can take up to a few hours.
  9. Select Done. 
  10. Confirm the connection:
    • Navigate back to the gear icon, then select Account & Settings. 
    • Select the Sales tab, and you should be able to see the Corppass Connection: Connected label alongside your Peppol ID number.

3. Update your customer records

To comply with local tax laws, you’ll need to add a few new details about the customers you invoice. 

  1. Go to All apps A bunch of numbers and letters on a tile wall., select Customer Hub, then select Customers (Take me there).
  2. Open a customer record and select Edit customer.
  3. Open the Additional info section:
    1. Add their Customer category
    2. Look up their Unique Entity Number (UEN)
    3. Review their Peppol ID which will automatically populate once the UEN has been added.
  4. Select Save, and close that customer’s info window.
  5. Repeat for all customers using e-Invoicing.
