Void or delete transactions

Learn how to void or delete transactions in QuickBooks Online.

You can void or delete duplicate or unnecessary transactions to keep your balances accurate. When you void a transaction, you keep a record of the transaction in your books that don’t affect your totals.

Important: 

  • You can’t undo a voided transaction.
  • Voided transactions are zero and show as void in your records.
  • You remove a transaction everywhere except the audit log when you delete it. The transaction number doesn't change.
  • You can delete a voided transaction and create a new one to reverse it.
  • You can use the audit log to re-enter a deleted transaction.

Void or delete a sales transaction

  1. Go to All apps A bunch of numbers and letters on a tile wall., select Sales & Get Paid, then select Sales transactions (Take me there).
  2. Find the sales transaction you want to void or delete.
  3. From the Action column, select the dropdown â–Ľ, then select Void or Delete.
  4. Select Void invoice or Delete to confirm.
    Note: The name of the option may differ depending on the type of transaction.

Note: You can only void invoices, bill payments, payments, and sales orders.

Void or delete an expense transaction

  1. Go to All apps A bunch of numbers and letters on a tile wall., select Expenses & Bills, then select Expense transactions (Take me there).
  2. Find the expense transaction you want to void or delete.
  3. From the Action column, select the dropdown â–Ľ, then select Void or Delete.
  4. Select Void or Delete to confirm.

Note: You can only void cheques, expenses, and bill payments.

Bulk delete excluded transactions

  1. Go to All apps A bunch of numbers and letters on a tile wall., select Accounting, then select Bank transactions (Take me there).
  2. Select the Excluded tab.
  3. Select the checkbox for each transaction you want to exclude.
  4. Select Delete.

Note: You can only bulk delete excluded transactions.
