Customise your invoice emails

Find out how to design the invoice you’ll send to your customers through QuickBooks Online.

You can change how your invoice emails look in order to make your invoices more appealing to your customers. This will highlight your brand and help your customers easily see what's on the invoice and get paid faster.

Customise the look of your invoice emails

Here’s how you can customise invoice emails:

  1. Go to Settings ⚙ and select Custom Form StylesCustomisation of documents.
  2. Under the Actions column, select Edit to change the design on an existing template.
    Tip: Preferences and layout changes you've set under the Design and Content tabs affect the PDF and email versions of your invoices.
  3. From the Design tab, select the desired design you want to apply.
  4. Select Done to save your changes.

Summary or detail invoice email

  1. Go to Settings ⚙ and select Custom Form StylesCustomisation of documents.
  2. Under the Actions column, select Edit to change the design on an existing template. To start a new style, select New style, and then select Invoice.
  3. Select the Emails tab.
  4. Choose either Full details or Summarised details.
    • Full details will show every line item within the invoice. It works best for shorter invoices or invoices with fewer line items.
    • Summarised details will show a summarised version of the invoice. It works best for longer invoices or invoices with a high number of line items.
  5. The email preview will update depending on which setting is selected.
  6. Select Done.
