Cancelling a Customer's subscription

I have an ex customer that I set up a subscription to do his accounts. He has now left my business and I want to stop his subscription and he does not require it. How do I cancel his subscription?

Cancelling a Customer's subscription

Hello there, RichardEmm.

I can see that losing a client can be a difficult experience, especially when you have built a long-lasting relationship with them. Allow me to provide you with some information regarding the cancellation process for their account.

We're unable to directly cancel your client's subscription from your QuickBooks Online Accountant (QBOA) list. The cancellation process varies depending on their onboarding method. If you wish to exclude them from your wholesale discount plan, you have the option to remove them, deactivate their account, or even permanently delete them.

To remove the subscription:

  1. If you haven't done it yet, make your client the primary admin of their own company.
  2. Head to your QBOA practice, and go to the Gear icon to select Billing and subscriptions.
  3. Navigate to the Accountant-billed subscriptions tab.
  4. Select the client you want to remove.
  5. From the Select action drop-down menu, select Transfer billing to client.

After completing these steps, your client's QuickBooks Online (QBO) company is placed on a read-only version. If they still need to make any entries, they would need to enter their billing information.

In case your client is not included of the wholesale discount plan, inactivate or delete them immediately. Here's how

  1. Go to the Clients menu and look for your client's company.
  2. Click the Edit client drop-down menu and select Make inactive.
  3. Select Delete to permanently delete the account. Make sure you've already assigned them as an admin before doing this.
  4. Press  Yes to confirm.

I have an article that provides a comprehensive guide on adding new clients, removing existing ones, and checking the discount charges: Manage your ProAdvisor Preferred Pricing plan and ProAdvisor discount clients.

Here are some additional resources that you may find helpful. The following links provide detailed information on the ProAdvisor program and guide you through the process of taking over billing for your clients:

If you have more questions about managing other clients or canceling their subscriptions, let me know and I'll share some more information. Have a great weekend ahead, RichardEmm.
