Correct way to handle a customer (person) moving to a new company

I have a customer who has moved to a new company who is also one of our clients, do I update her current profile with the new company details - would this still have her previous estimates and quotes linked to her.

Or do I create a new profile for her and leave the old one as it is?

Correct way to handle a customer (person) moving to a new company

Hello there, @kevinneal. I'd be delighted to share some information about handling your customers seamlessly in QuickBooks Online (QBO).

Beforehand, is the new company that is also your client set up as a customer or a client under your billing subscription as an accountant?

On the other hand, I've got a couple of options to share with you so you can handle this correctly if you've set them up as a customer.

The first one is to update your customer's profile with their new company details, as you mentioned. Doing this won't affect their sales transactions as it will stay linked with their profile.

The next one is to create a new customer profile for her with their company information and leave the old one as it is, so you'll start tracking their sales transactions in a fresh state.

Lastly, you'll want to set them up as a sub-customer to your client's company profile. With this, their transactions will stay intact on their profile, but they will also appear in your client's company profile. Here's how:

  1. Go to Sales and select Customers.
  2. Open your customer's profile.
  3. Select the Is a sub-customer checkbox. This action will display a parent customer dropdown menu.
  4. In the Parent customer ▼dropdown, choose your client's company account.
  5. Tap the Bill parent customer checkbox if you want to bill the customer with the parent. Leave this unchecked if you want to bill the sub-customer themselves.
  6. Once done, hit Save.

On top of that, you can always seek help from your accountant to ensure that your books are accurate if you need further assistance in choosing the best way to handle this.

Additionally, you can visit these articles for further instructions on how you can include supplementary details or personalise your sales transactions:

Don't hesitate to let me know if you need further assistance about managing your customers in QBO. I'll be glad to help you as soon as possible. Have a good one!
