How do I convert a QBO company to an accountancy practice?

I am an accountancy provider and was set up as a regular company in QBO (i.e. not in QBO Accountant). I now have a client that also uses QBO and wants to connect. How do I 'convert' my company into a QBO Accountant practice so I can respond to my client's invitation to connect? I had one go at this, but I have ended up with a blank accountancy practice with my client as a client (good) and my company as a second client (not good!). Obviously the practice and the second 'client' have the same company name... A bit of a mess! Thanks

Hello Rjwbailey, 

 

If you are wanting the qbo in the qboa there is no way of converting it it would be a case of exporting the information out of the qbo account and into the qboa account. 

 

If it is just because your having issues trying to connect the mtd in the qbo account due to the qboa being connected to it and using the same log in details for that account as well, if you add your self as a company admin on the qbo account under a different email address that has never been used for Quickbooks before, accept the invite and create a password then log into the qbo account with the new credentials so it thinks your a normal user not an accountant user and you'll be then able to connect mtd using your gateway credentials and it will not say anything about your asa account. 

 

That is the two options you have.

You're unable to convert a regular QBO company to an Accountant version, Rjwbailey.

 

QuickBooks Online accountant is for free. Your client just have to add you as an accountant so you can use it.

 

For the detailed steps, please check this reference on how to invite or remove an accountant.

 

Once you're added, you'll receive an invitation through email. Then, your client's company will show under QuickBooks Accountant.

You are unable to migrate data directly. You need to export them out from your QBO account to XLS and import them into your QBOA account.

Thanks - sounds like less work to leave it as it is then! Only thing that is broken is the MTD VAT - it won't let me connect with my existing govt gateway login. It's insisting I get an agent's account to file my own VAT returns Smiley Happy

OK - see attached. I was previously connected for MTD VAT and submitting returns, but now obviously QB thinks my company is a client of my company...

Are you able to log into that company, not through the accountant's account? 

 

Once you have logged into that account as a normal user, not as an accountant you will then be able to submit the vat via your credentials and not have to submit it through agents account. 

 

The reason why it says to do it through the asa is because you are logged into that account as an accountant, we need the system to think your not an account so you can then submit the vat via mtd with your credentials.

No I can't. When I log in, it takes me straight to the QBO accountant's page.

 

This is the same login that I used to use when logging in to my company 'normally' so I have no other credentials I can use.

You should not use the same email address to access QBO account and QBOA account. Login to your QBOA account and invite yourself with another email address. Assign the new email address as the Admin and delete the old email address. Try login to your QBO account again.

Thanks, I did that. The new email works as master admin to QBOA. But when Iog in with the old email address it says

 

"Your administrator has not granted you access to

Hi Rjwb, If you can try signing in with your old email address to https://accounts.intuit.com/index.html and then changing the email address to something else and the user id to something else(not the one you are using for QBOA. Then save and try signing in with the new details. It sounds like there is something in that old email address which is not picking up thing correctly'Let us know how you get on😊

I tried that but I still get the same message. I spent 2 hours with support and they don't seem to be able to fix it either...

 

Bascially the master admin and the accountant for the company are set to the same new QBOA account and no-one seems to be able to set the master admin back to what it was yesterday.

Thanks for sharing an update about the issue, @rjwbailey,

 

Just to add some clarification about this topic, users cannot use the same email to access the regular QBO interface and the Accountant's view. Once a user is invited as an accountant, their profile will be upgraded to QBOA. This action is permanent and cannot be undone or reversed.

 

To avoid this from happening, those users who want to access both interface, a separate email must be used. From what I have read on your post, it looks you already tried a new email and has reset the Master Admin credentials.

 

Using the updated MA login, have you tried resending the invite? Open a private browser when accepting the invitation. Here are some shortcuts to try:

 

  • For Chrome, press Ctrl + Shift + N.
  • For Firefox, press Ctrl + Shift + P.
  • For Safari, hold down Command + Shift + N.

Follow these steps on the client's profile:

  1. On your QBO profile, click the Gear ⚙️ icon and select Manage Users.
  2. Press Add User then go to the Accounting Firms tab.
  3. Use the Invite button to add your login credentials 
  4. Lastly, click Save.

I think it's sorted now, although not entirely sure why this worked this time when it didn't work earlier today.

 

I went into the company via QBOA in the QBO app (rather than web site) and it let me add another user to the client. Not sure how, because the client is Simple Start! So I quickly set that user to be the old original account, now with the new ID/email address, and then made that user the master admin for the client. Voila!

 

I now have separate logins for my firm as a company and my firm as a practice... and my firm is now a client of my firm. Seems very odd to me but is that basically how QBO is supposed to work?

It's good to know that you're able to have separate credentials, rjwbailey. 

 

Yes, you have to have separate User ID to be able to separate accounts. My colleagues also provided helpful references and some troubleshooting steps when you encounter unexpected behaviors within QuickBooks.

I think it would be helpful to have a clear procedure where you have set up your practice as a normal QBO company (i.e. not in QBOA) and then someone gets QB and invites you to connect. I just used my existing QB login and that's where the problems started, as clearly I should have created a new email address and new user ID.

 

Going back to my original question, I assume there is no way to migrate my existing practice from a QBO company into QBOA and it has to stay as a client of my practice? The set up at the moment is:

 - Practice (blank chart of accounts etc)

 - Client 1 - my actual practice - as a standard QBO company - different login

 - Client 2 - my new client
