
Exclude a downloaded bank transaction in QuickBooks

When you connect a bank account to QuickBooks Online, your recent transactions are automatically downloaded. Learn how to exclude any transactions that you don't want to record in your business accounts.
When should you exclude a transaction?
- Duplicate Transactions: If a transaction has been downloaded more than once by mistake, excluding the duplicate is the correct action.
- Personal Expenses: It's better to account for personal expenses rather than excluding them. Excluding them will cause a mismatch between the bank balance in QuickBooks and your actual bank statement. Instead, you should categorise the transaction as an Owner's Drawing or Director's Loan. This keeps your books accurate without recording it as a business expense.
If you're unsure how to handle a specific transaction, it's always best to consult your accountant or bookkeeper.
Excluding vs. Deleting
It’s important to exclude a transaction rather than delete it.
- Excluding moves the transaction to an 'Excluded' list. QuickBooks will not download it again from your bank.
- Deleting, on the other hand, removes the transaction entirely. QuickBooks may see it as a missing item, and re-download it during the next bank feed update.

You can exclude transactions on either the QuickBooks website or the mobile app.
How to undo an exclusion
If you exclude a transaction by mistake, you can easily move it back to your review list.
Follow this link to complete the steps in product
- Select the Excluded tab.
- Find the relevant transaction(s) and select the checkbox next to them.
- Select the Undo button that appears.
The transaction will be moved back to the For review tab, ready to be categorised or matched.
