When and how does a payment reach my bank account?

Hi, @gtrepairs. When an invoice shows as paid in QuickBooks, it means the payment has been successfully authorised by your customer. However, there's a short wait for the banks to process the transfer before the money reaches your account.

The time it takes for the money to reach you depends on the payment method used:

  • QuickBooks Payments (Credit/Debit Cards) typically transfers funds to your bank account within 1-3 business days.
  • GoCardless (Direct Debit) usually takes 3-5 working days from the date the payment is collected.
  • Open Banking (paying from your bank) is often nearly instant, although some banks may take a few hours to process the transfer.

There are a few factors that can influence these timings:

  • Bank holidays are not working days, so if a payment was initiated on a Friday before the holiday (Monday), the funds will usually arrive on Tuesday or Wednesday.
  • If you are using a service like GoCardless for the first time, there may be a one-off security delay of an additional couple of days.
  • Payments made after 6:00 PM are generally processed on the next business day.

For your reference, I've added some useful resources that you can read through:

I completely understand that you want to see your hard-earned revenue land in your account as soon as possible. Please be assured that your funds are safe and currently moving through the usual clearing cycle. QuickBooks keeps a close eye on every penny, so you can get on with your next project with peace of mind. If you’d like me to check exactly where this payment is in the process, just let me know.
