Why does the bank feed keep missing transaction lines

The Bank feed does not import all the transactions and skips line entries

 

Does anyone have a similar issue and how do I fix this?

Thanks for contacting the Community. I can certainly understand how this would be frustrating if certain transactions or periods are missing from the download.

 

Occasionally this can happen if there are connection faults with the bank account during the periods or potential background issues with the bank during the download times. It is for this reason that we always recommend double checking the periods to make sure there are no missing transactions from the download.

 

Don't worry though, there is a resolve for this. If you know the transactions that have been missed then you will be able to upload a csv file of the transactions though the QuickBooks banking page by clicking the dropdown arrow in the top right corner and selecting upload. You will have the option of either downloading a CSV file of your missing transactions from your banks website (You can select a specific date period or delete any transactions from the csv file to only show the missing transactions) or you could just create your own csv file on excel for the missing transactions (The Columns you would need would be, Date, Description, Amount).

 

While I do understand it is frustrating, this doesn't tend to happen often but we do always recommend checking your banking download to make sure there are no missing transactions. Our banking team does always try to work to minimise any disruptions but unfortunately these can still occur.

Hey Ash...

 

One thing that  I have seen work well is using third party services that can OCR bank statements. They tend to have a 98% accuracy rate and serve as a backup in events like the one you described. 

 

I know because I have the luxury at Ledgersync to speak with dozens of firms a day and from our conversations I can see what works and what doesn't.  Many folks seem to be happy with using third party services to fetch the statements and then sending them off to an OCR company that will break down the transactions from the bank statements and convert them a CSV or QBO file.

I'm sorry but I have had this problem for the last 3 months from Capital One and with 50-100 transactions per download it takes a fair amount of time to locate the ones that have been missed!  Then to take the additional time to pare down a csv file makes for a very tedious process.  The reason I purchased Quick Books was precisely to be able to avoid problems such as this!

I looked into this and we don't currently have open investigations about this issue. To check the root cause, we’ll have to check the connection between QuickBooks and your bank.


The safety and security of your account is our top priority. Since the process requires gathering of sensitive information, I recommend you get in touch with our QBO Support Team.

 


They have tools like screen sharing to check your company and can perform troubleshooting processes with you. Here's how to reach them:

 

  1. In your browser, enter this link: https://help.quickbooks.intuit.com/en_GB/contact
  2. Select QuickBooks Online.
  3. Choose the issue/topic.
  4. Go to the Here's how to connect with a QuickBooks expert about section to see the contact information.

Upon giving them a call, you should be able to accept transactions automatically.

Thank you Rasa!  I am currently 'on the road' & will be in touch next week.  I am concerned about your recommendation to   "get in touch with our QBO Support Team"  because the last time I tried to discuss a banking issue I was told I would need to purchase some sort of  'service contract".  This was after I was 'guaranteed' full support in upgrading from my QB Pro Mac Version to Windows QB Pro 2018 Desktop.  I never had this problem with the MAC versions I've used since the 90's!  All of my problems with the windows version seem to be with bank feeds.  I actually upgraded expressly because the MAC version was not going to be supported for much longer.  Very frustrating.  Susan

It seems you're using the QuickBooks Desktop US version. Since, we don't have the Mac version for UK customers.

I have read the solutions of this issue and not finding it beneficial.  The system is not picking up 11 months of my banking records for 2018.  Not sure where to go from here.

QuickBooks Online (QBO) will automatically download your bank transactions if these transactions are worth less than 90 days. 

 

Since you'll need to pick up the 11 months of your banking records for last year, you'll have to use the WebConnect process. First, you can a download a .CSV file from your bank's website. Here's are the steps: 

 

  1. Sign in to your bank's website. 
  2. Follow your bank's online process to download your transactions to your computer. 
  3. Choose the .CSV file. 
  4. Map the file fields correctly
  5. Name the file you downloaded and save it in your computer. 

 

After that, you can upload the file to QBO by performing the steps below: 

 

  1.     Go to Banking from the left menu. 
  2.     From the Update drop-down menu, choose File upload
  3.     Click Browse and choose the .CSV file from your computer. 
  4.     Select Next
  5.     Click Let's go or Finish

This is a frequent problem with Quickbooks. It happens to me on a regular basis with multiple bank accounts. I don't know whether the problem lies with the information being generated from the bank site or whether it's the way Quickbooks reads the file, but it needs to be fixed.

The options above will help get the missing transaction lines to appear in your bank feeds. 

 

Just to confirm, can you provide to me the name of your bank? Are the missing transaction lines under the For Review tab? This will help me narrow down the root cause of this issue and provide a permanent resolution for you. 

 

Please know the transactions downloaded to your QuickBooks account depend on what your financial institution shares with us. I'd suggest signing in to your bank’s website and verify on how your transactions are posted. You can review to see if there's a setting that needs to be updated on the website so the missing transaction lines will be included on the downloaded information. 

 

If there are changes on how your transactions are posted, I recommend contacting your bank's customer service team to help you resolve this issue. 

 

If there are no changes made on your bank's end, let's manually update your bank account. This way, it'll help refresh the bank connection and sync all the transactions. Here's how: 

 

  1. Go to Banking from the left menu. 
  2. On the Banking page, choose Update.
  3. Type in your Multi-Factor Authentication (MFA) credentials. 
  4. Click Continue update.

Hi Raymond,

Here is what I can do if it will help:

  1. Send a screenshot of the online bank transactions
  2. Send a screen shot of the transactions that get imported into QB
  3. Send the QBO file that is created

 

In this instance we are talking about a Capital One credit card account that just never imports all the transactions that exist in a given time period. They are obvious on the bank’s ledger but don’t get imported into QB for whatever reason.

I'll help ensure you're able to import your Capital One bank transactions into the program. 

 

I appreciate you providing a screenshot for me to get a better picture of your concern. Based on it, it seems you're using the desktop version.

 

Since you're receiving a "No new transactions available" error message when importing .QBO file, here are the possible reasons why you're unable to upload it:

 

  • The file's statement covers dates previously imported into the company file.
  • The transactions have already been imported.
  • The file doesn't contain any new transactions.
  • Your company file may be damaged.

 

To help fix this, you'll first need to check the dates. Please make sure the date range for the imported .QBO file is correct and does not overlap.

 

Then, you'll need to switch to the Register mode and download the file in a sample company file. These can help isolate the issue and verify to see if there's an issue with the program's end or on the web connect file.

 

Here's how to switch to the Register mode:

 

  1. Go to the Edit menu at the top. 
  2. Choose Preferences.
  3. Select Checking on the left pane.
  4. Go to the Company Preferences tab.
  5. In the Bank Feeds section, click Classic Mode (Register Mode).
  6. Select OK.

 

Here are the steps on how to download the .QBO file in a test company file:

 

  1. Go to the File menu at the top.
  2. Select New Company.
  3. Choose Express Start.
  4. Add the affected bank account to the Chart of Accounts.
  5. Set up the account for Bank Feeds.
  6. Download Bank Feed transactions to test the account.

 

If the new transactions will download into this new file, the issue might be with the bank account or the company file. If the new transactions will download into this new file, the issue is likely with the .QBO file.

That is not the problem:

1. I do not get a timeout

2. I do not get an error message

 

It is not a connection problem.

 

The problem is:

a) Either the bank doesn't upload all the transactions

b) or QB doesn't download all the transactions.

I have no way to determine which of those it is.

I appreciate you confirming to me that you haven't received a timeout and an error message when trying to import the .QBO file. 

 

We haven't received any reported issues about QuickBooks not importing a file into the program. Also, I'm not able to tell if this issue comes from your bank's end. 

 

If you haven't contacted your bank yet to help repair or replace your download file, I suggest you to do so. This way, they'll also be able to review your bank's parameters for file downloads on their website.
