Yes, you can use the Projects feature in QuickBooks Online to manage your boiler service appointments, especially if you're looking to track specific jobs and their related tasks over time. While the Projects feature is primarily designed for job-based businesses (like contractors), it can be adapted to your boiler service business to track recurring services for each customer.

 

You can create a Project in QuickBooks Online for each customer you service. A Project is a job or service you're providing, and you can track all related expenses, invoices, and tasks within it. Here's how:

 

  1. On the left menu, go to Projects.
  2. Click on Create Project.
  3. Name the project (e.g., Annual Boiler Service for Customer#1).
  4. Link the project to the customer.

 

Within each Project, you can create tasks for each specific part of the service and set due dates for completion.

While QuickBooks doesn't have automated scheduling within Projects, you can manually create tasks for each year's service. For example:

 

  • Create an invoice for your earnings in that project.
  • Create an expense for each material used.

 

This approach won't send automatic reminders, but you can manually create the tasks to track the service's due date, which will appear on your Project timeline.

 

You can combine the Recurring Invoices feature with Projects to remind you and your customer about the next service.

 

  1. Set up a recurring invoice for each customer's annual service (the frequency can be Yearly depending on your service).
  2. Link the invoice to the Project.
  3. When the recurring invoice is due, it triggers a reminder for you to contact the customer and schedule the service.

 

If you prefer an additional reminder system, you can consider looking for a third-party application that integrates with your QBO account.

 

In addition, you can consider setting up progress invoices in your QBO account that can be combined with your boiler services projects.
