I need (for my accountant) to download the payslips for my employees from Jan 1st 2019 to Dec 31st 2019 and for Jan 1st 2020 to Feb 29th 2020. How do I get these?

Since QuickBooks changed your payroll to the new app, all of your payroll records will be excluded.  Before migrating from Paysuite you should have been advised to download the payslips. However you are correct we can arrange a data retrieval so you can download that information. This would need to be done through our phone support team. Their contact number is 08082345337. I'll help you download and get a copy of your employees' pay slips, @easttv.

 

QuickBooks Online will generate a PDF copy of your employees' pay stubs. You have the option to print them from the Employees tab. I'll show you how.

 

  1. Go to Payroll.
  2. Select the Employees tab.
  3. Below the Run payroll option, click on the Paycheck list link.
  4. Change the Date Range if necessary. Select the date of the pay stub that you want to print.
  5. Select the Download icon.
  6. A PDF appears. Select the Printer icon to print.

Those options are not available, the earliest payslip is Feb 28th 2020.

Allow me to step in and provide assistance about the payroll information you need in QuickBooks Online.

 

We want to help you with your questions about downloading prior payslips. However, we need more information to provide accurate resolution and get this sorted out as quickly as possible.

 

Can you share with us the type of payroll subscription you're using for QuickBooks? Any details you can share would be much appreciated.

 

The payslips that'll show in the system are only those you've entered when you start using the service. The steps will be different depending on the subscription that you have.

 

For Standard Payroll:

 

  1. Select Employees Employees.
  2. From the list of employees, select the employee whose payslip you want to view.
  3. Select Payslips to view all the payslips for the employee. You can see the Pay date, Pay period and Net pay at a glance.
  4. Select a payslip and it will open a card on the right hand side.
  5. Select Email Payslip if you want to send or re-send the payslip.
  6. Select Download Payslip if you want to print the payslip.

If you have Advanced Payroll, you are able to view payslips via two different methods:

 

  1. If you hover over the requested pay period after selecting Pay Runs, the Payslips button will appear.
  2. Alternatively, select the Pay Runs tab, to see a list of pay runs. Simply select the required date to open the run and from here you are able to select Payslips on the pay run actions bar.

In case you're still unable to get the data after following the steps, I suggest contacting our QuickBooks Support Team. One of them will be able to take over from here and assist you with the payroll concern.

 

Here's how you can reach them:

 

  1. Log into your QuickBooks account.
  2. Click the Help option in the upper-right corner.
  3. Select Contact Us.

We are using Quickbooks Essentials.

We have used Quickbooks for our payroll for many years, in February of this year Quickbooks decided to change the payroll to a new app and migrated our details.

I now cannot see any payslips prior to that date, I need this detail for my accounts which go from Jan 1st 2019 to December 31st 2019.

I have tried all the steps suggested but the data is not there prior to February 2020.

Hello easttv :waving_hand:, Okay, Could you provide a bit more information regarding the migration and what product it was that you were using in QuickBooks, were you using Paysuite, Standard, or advanced payroll? and when you're saying migrated to a new app is this outside of QuickBooks? 

Prior to migrating did you download the information such as payslips, p60s, etc?

From memory I think it was called paysuite, no we didn't download anything before the migration. 

 

We weren't given a choice, we were just told that paysuite was being withdrawn and would be replaced.

 

Since we are required to keep these records for five years I assume they are still available?

On chat today I was told that QB will do a "Data request Recovery".

Not massively impressed the data was deleted but at least it should resolve the problem.
