When a pay schedule has already been used to run payroll in QuickBooks Online, it becomes locked to ensure accurate tax calculations and preserve historical payroll records. This safeguard is in place to maintain consistency and prevent errors. However, you can create a new pay schedule and assign employees to it moving forward.

 

Here’s a step-by-step workaround:

 

Step 1: Create a New Pay Schedule

 

  1. Log in to QuickBooks Online.
  2. Navigate to Payroll from the left-hand menu.
  3. Click on the Employees tab.
  4. Select the employee whose pay schedule needs to be updated.
  5. Scroll down to the Pay Schedule section and click Edit (or create a new schedule if one isn’t set yet).
  6. From the drop-down menu, click Add New.
  7. Enter the details for the new pay schedule, such as the pay frequency (e.g., weekly or biweekly) and the next pay date.
  8. Click Save to finalize the new schedule.

 

Step 2: Assign Employees to the New Pay Schedule

 

  1. Go back to Payroll and select Employees.
  2. Choose the employee whose pay schedule needs to be updated.
  3. Scroll to the Pay Schedule section and click to edit.
  4. Select the newly created pay schedule from the drop-down menu.
  5. Save the changes and repeat the process for any other applicable employees.

 

The original pay schedule will remain in the system. However, it won’t be active unless there are employees still tied to it.
