Upgrading from PaySuite - FAQ

If you are currently using PaySuite, you/your clients will be given the option to be easily upgraded to the new QuickBooks Online Advanced Payroll or QuickBooks Online Standard Payroll product. 

PaySuite will be discontinued by the end of the 2019/20 tax year with a view to upgrading you/any clients in advance should you/they chose to be upgraded.

  • We have launched a new advanced payroll product which will replace PaySuite. All current PaySuite customers will be given the option to upgrade to either QuickBooks Online Standard or Advanced Payroll  depending on your payroll requirements.
  • This process will be managed by QuickBooks experts ensuring a seamless upgrade experience.

 

 

Our new advanced payroll product has replaced PaySuite. You will have the option to upgrade to either QuickBooks Online Standard or Advanced Payroll depending on your payroll requirements. Alternatively you may choose to download your data in advance if you decide not to upgrade.

If you don’t download your data before the end of the 2019/20 tax year, your data may need to be extracted manually by one of our team.

 

Yes you can run your payroll until the tax year end for 2019/2020.

If you have not selected a date to upgrade or opted out of the upgrade, your payroll data will be moved to the payroll product (Standard or Advanced payroll) based on the features you use. Don’t fear, you won’t be charged for this new product until you use it as it is charged on a usage basis. The charges will be the same as you currently have until 31st July 2020.

We will send you an email before this happens to let you know what payroll product you will be upgraded to and on which date. If that date doesn’t work for you, you can change it by changing the date in QuickBooks Online.

 

You will not be able to run payroll for the new tax year 2020/2021 in the current PaySuite Payroll product.

If you wish to run payroll for the new tax year, you will need to upgrade to either our Standard or Advanced Payroll product.

We ensure you export your data from PaySuite after you have approved and advanced your last payroll or finalised any changes prior to your upgrade date. Please click here to learn how to export your data.

Please also ensure that any leavers in this tax year have the correct leaving date prior to your upgrade to ensure accuracy of data.

As you prepare to upgrade from PaySuite to your new payroll offering, you may notice that in some company files, you cannot select a date to begin the upgrade process. We are enabling the upgrade option within companies in phases, so please be patient with us - you will be able to select a date very soon!

Yes. Throughout the upgrade process, you will still have access to all of QuickBooks Online. On the day of your PaySuite upgrade, you will not have access to payroll until the process is complete. This can be up to 24 hours.

You can choose between QuickBooks Online Standard or Advanced Payroll. We'll make a recommendation based on your previous PaySuite payroll use. In some cases, you will only be able to able to select Advanced Payroll. You can read more about the differences here.

This means you will pay the same pricing of £1 per employee per month until 31st July 2020. From August 1st, QuickBooks Online Standard Payroll is a monthly subscription fee of £4 plus £1 per paid employee per month (excluding VAT).

We recommend you choose a date when you are not due to run any payroll tasks.

 

We'll handle the complicated stuff when it comes to moving your data over. All you need to do is pick a date that best suits you.

First, you should finalise your next pay run and any payroll tasks due. When you next log into QuickBooks Online, go to the Employees . Here you will see a prompt to start the upgrade process, click on that. Next, choose either Standard or Advanced Payroll and then pick the date that bests suits you. Once you have done that, the hard part is over for you!

In the meantime, you can continue to use PaySuite and QuickBooks Online with no restrictions. You should export your data from PaySuite when you have run your last payroll or finalised any changes, click here to learn how to export your data.

Note: Your previous payslips will not be moved to Standard Payroll. If you are upgrading to Standard Payroll and want a copy of all your previous payslips, you'll need to export them from PaySuite.

On the upgrade day you picked, PaySuite will be unavailable as we move your data to your chosen payroll product. Please make sure you have no critical payroll tasks scheduled for that day. The rest of QuickBooks Online will continue to work as normal on that day.

The day after your upgrade log into QuickBooks, go to the Employees. If everything has moved over correctly, you will be able to use your new payroll product.

If there was a problem with the upgrade we will let you know. In the meantime, you can continue to use PaySuite as before.

Standard Payroll

Your employees/clients' employees and only their year to date payroll history will be moved across to Standard Payroll allowing you to run your next payroll without any extra setup.

Advanced Payroll

Your employees, their year to date payroll history and all historical pay runs for the 2019/2020 tax will be re-created in the new system.

After running all 2019/2020 Payroll

If you choose to upgrade after running all your payroll for 2019/2020 financial year, then there will be no year to date information to move to the new payroll system as you will be in the new 2020/2021 tax year. It will only be the employer and employee information that will be brought over into either the Standard or Advanced Payroll product.

If you have not chosen to upgrade or opted out of the upgrade, we will move your data to the new product. Only employer and employee information with year to date history will be moved to the new product. Historical payruns for 2019/2020 will not be brought across to the new system. This historical data will be part of the payroll data download.

Once you have successfully upgraded to QuickBooks Online Standard/Advanced, you will not have access to PaySuite anymore.

You'll see a pop up on QuickBooks Online Payroll with the message 'That migration worked a treat'. When your upgrade is successful, you'll be able to use your new QuickBooks Online payroll product immediately after.

You'll see a pop up in your QuickBooks Online Payroll page with the message 'We couldn't migrate your payroll data to the new plan'.

Do not fret if your upgrade has failed, you will still be able to use PaySuite to run your payroll tasks until the new tax year. We will provide you further information through QuickBooks if you need to select another upgrade date to try again.
