Process an employee leaver

Hello all, I'm using Quickbooks Online Payroll Standard.  I have an employee that has left, and I'm trying to mark her as left, but I simply cannot find where to do this.  I have done this in the past and I know it's very simple, but I'm completely unable to do it now, so it's very frustrasting.

I've followed Quickbooks' help page on how to do this here.  Following the numbered list, I click on "Payroll" - fine.  I clicked on the employee name, which opened her profile, fine.  Now it says "Select 'Action'" but there's no "Action" absolutely anywhere!  I'm tearing my hair out trying to find "Action" - can anyone tell me where to see this?  I've attached a picture of the employee page, if someone can point this out to me, I'd really appreciate it.  I tried using another browser, Chrome, but I still couldn't find it.

Many thanks for your time!

Thanks for coming here with us today, SummerHouse.

The Action button is located beside your employee's name. I'll show you how to mark an employee as a leaver using QuickBooks Online Standard Payroll:

  1. Go to Employees or Payroll menu.
  2. Select the name of the employee to open the profile.
  3. Select Actions and select Mark as leaver under the employee name.
  4. For Details of leaving,
    • Select the employee's leaving date.
    • Select the employee's reason for leaving.
    • Select Save.
  5. Select Done to dismiss the note that their P45 will be available at the end of the final payroll.

However, if you're still not seeing the Action button, you can try performing some basic browser troubleshooting. Since you've tried using a different browser with no luck, let's proceed with using an incognito or private browser when logging into your account. This doesn't store data in the cache and is proven to be the best place to isolate browser issues.

Kindly use either of the following shortcut keys:

  • Google Chrome, press CTRL  + Shift + N
  • Mozilla Firefox: press CTRL  + Shift + P
  • Internet Explorer: press CTRL  + Shift + P
  • Safari: press Command + Shift + N

If this works, I suggest you clear the browsing history of your regular web browser. This will remove previously-stored browsing data that might have caused the issue.

I'll be right here if you have further questions. Keep safe and have a good one.

Hello, thanks for your reply!

Unfortunately what you said does not work.  There is absolutely no "Action" button anywhere, and I've tried the following browsers:

  • Firefox on Linux
  • Chrome on Linux (completely fresh, virgin install)
  • Firefox on Windows 10
  • Chrome on Windows 10 (again, completely fresh, virgin install) - see attached picture
  • Safari on MacOS
  • Firefox on MacOS

On not one of those do you see the "Action" button.  I'm getting quite frustrasted with this as I need to close down payroll.

I'd appreciate your support!

I can help process a leaver in QuickBooks Online (QBO), SummerHouse.

Thanks for the screenshot. It looks like you're using an app when accessing the employee's profile.

I recommend logging into your QBO account via the web-browser and deactivate the employee from there. Make sure to use supported browsers when accessing your company file. Doing this will help you see the Actions button.

You can visit again this page for instructions and detailed steps: Process a leaver in QuickBooks Online Standard Payroll.

If you're still unable to mark the employee as a leaver, I suggest contacting our QBO Payroll Team. They can access your account in a secure environment and help process this for you.

Let me know how this goes by commenting below. I'm always around until the issue is resolved.

The screenshots I sent are clearly web-browsers like you said, I didn't try it via the app or whatever - please re-read at the web browser list I posted before:

  • Firefox on Linux
  • Chrome on Linux (completely fresh, virgin install)
  • Firefox on Windows 10
  • Chrome on Windows 10 (again, completely fresh, virgin install) - see attached picture
  • Safari on MacOS
  • Firefox on MacOS

Not one of those are a mobile OS like Android, iOS or Windows Mobile.

Thank you.

Hello, @SummerHouse.

Let me route you to the best available support so we can further look into why you're unable to update your employee's status.

Since the troubleshooting steps shared by my colleagues didn't work, I'd recommend contacting our Payroll Support team. A specialist can securely look up your account and further investigate the root cause of this unexpected concern.

Here's how to contact us:

  1. Go to the Help (?) icon.
  2. Enter your concern.
  3. Click the Let's talk button.
  4. Select Contact Us to connect with a live support agent.
  5. Choose a way to connect with us:
    • Start a chat with a support expert.
    • Get a callback from the next available expert.

I want to make you're taken care of. Keep me posted on how your call goes by leaving a comment below.

So I had a chat with a live support person and after over one hour due to extremely slow replies, it transpires that I'm on Advanced payroll, and the instructions given here were completely wrong - the Advanced payroll has completely different instructions - I was to create a new payroll, then mark employee as terminated and that was it.

I'm really extremely disappointed with Quickbooks - I've looked on the community and there's so many people who don't know whether they're on Standard or Advanced payroll, and there is no way to tell apart from asking an expert who will ask some visual questions - the live chat employee asked "Do you have a pie chart at the top of your payroll screen?" "Yes" "Then you're running Advanced".  Why do Quickbooks make it so difficult for us peons to find this simple bit of information out?  When I clicked on "Help" I'm sent directly to "Standard" payroll help, despite that I'm on Advanced payroll!

I've been tearing my hair out for several weeks with payroll, I don't know why Quickbooks does it this way, and I'm an IT expert!

And now I need to run the final payroll for the entire tax year, and I've looked for "running final payroll for tax year" and surprise, surprise, there's no help on Quickbooks Support.

I simply cannot wait until the final payroll is submitted, I will cancel my subscription with Quickbooks, and I will never ever use Quickbooks again even though I'm still running a couple businesses.  Quickbooks has incurred me a number of fines from HMRC since the new payroll system was released.  Utterly terrible.  So much stress for a tiny payroll, I had only one employee!
