QBO Advanced Payroll

QuickBooks Online Advanced Payroll is Intuit's new, fully featured payroll application. It has been designed for accountants and bureaus who are payroll experts and run payroll on behalf of multiple clients. They key features of the product include:

 

 

Payroll Automation

Do you have a lot of payrolls that never change, for example, director only payrolls? With QuickBooks Online Advanced Payroll you can fully automate these payrolls to run automatically on their pay date. For some accountancy firm, this can save days of time each month.

We automatically take care of:

  • Calculating the net pay, taxes and national insurance
  • Submitting the RTI filings to HMRC
  • Submitting the contributions information to the correct pension provider
  • Creating and sending the payslips to the employee

If we detect any errors or warnings in the payroll run we can email you to manually check them before they are submitted.

 

Automatically submits information to workplace pension providers

We have partnered with pensionsync to allow our advanced payroll customers to digitally connected to their pension providers. This means that you can automatically submit pension contributions information, import Opt-Out information and enroll newly eligible members.

If you have a NEST pension, we can also automatically trigger the direct debit payment for you after each submission.

 

Self-service portal for employees, including a mobile app

Decrease the time it takes you to run payroll and prevent manual data entry errors by allowing your clients employees to submit leave requests, time sheets and update their personal information through our Employee Payroll portal and Mobile Application (iPhone and Android).

Managers can also sign in to this portal to approve leave requests, time sheets and shift rosters for their direct reports. This information is then automatically flowed into the next payroll so all calculations are correct without you having to manually collate time off and hours worked.

 

Automatically posts journals for all payroll costs into the correct chart of accounts

Configure your chart of accounts to automatically and flexibly post payroll costs into their correct account in QuickBooks.

You can customise which costs are posted where, allowing you to easily separate out directors remuneration from other employees or even post journals for multiple locations into different accounts.

 

Flexible pay schedules

QuickBooks Online Advanced Payroll supports the following pay schedules

  • Weekly
  • Fortnightly
  • Four weekly
  • Monthly
  • Quarterly
  • Annual

You can also have multiple different pay schedules in a single company.

 

Detailed Reporting

Advanced payroll includes over 30 payroll reports out of the box. You can also configure it to automatically email out one or more reports on a schedule.

This allows you to automatically update your customers with the correct payroll reports after each pay run!

 

Timesheet and rostering functionality

Manage rosters for your shift workers directly within advanced payroll, or the Manager portal. Managers can create rosters for locations that they are responsible for and assign them to your employees. Employees can swap shifts, bid on open shifts and manage their availability if you chose to enable this feature.

Employees can then enter their time sheets, clock in and out of shifts, for their manager or payroll administrator to approve.

This saves you a lot of time as this information is automatically pulled into the appropriate pay run, ensuring that you don't need to manually copy and paste information from other systems.

What versions of QuickBooks Online is this feature be available in?

  • Simple Start, Essentials and Plus
    • How much will QuickBooks Online Advanced Payroll cost?
      • We are running an introductory offer of £1 per paid employee/month until 5th April 2020 after which, Advanced Payroll will be priced at £8/month subscription fee + £1 per paid employee/month.
      • I signed up for Advanced Payroll during beta, when I begin being charged?
        • As a Beta customer, your usage will remain free until the 19th September. In order to continue using the product without interruption you will need to opt-in to the pricing terms. Providing you opt-in, from the 19th Sept you will be charged the introductory offer rate of £1 per paid employee/ month until 5th April 2020.
      • How much will Advanced Payroll cost at full price?
        • After the introductory offer, advanced Payroll will cost £8/ month subscription fee + £1 per paid employee/ month.
      • When does the introductory offer start and end?
        • It starts on 19th August and will end on the 15th November 2019. If you take out the offer during this period it will be valid until the 5th April 2020.
        • Why do I need to opt-in to continue using Advanced Payroll?
          • As you signed up during a free period you will need to opt-in to the pricing terms to let us know you are happy to continue using the product. You will need to opt-in before the 19th September. If you do not, you will not be able to run future payrolls but you will still have access to your data.
          • Will my bill show me a breakdown of these charges?
            • Yes, you will see the breakdown of the charges on your monthly invoice.

I want to add vocation pay on this month's paycheck. It is not included the annual amount. I am trying to add it, it automatically changes the monthly annual amount. I need tech. help

Thanks for reaching out to the Community. I can help guide you on how to add vacation pay in QuickBooks Online (QBO). 

 

To add vacation pay on this month's paycheck, you 'll need to use Holiday Pay on the Daily Earnings drop-down menuthen select the Add Earnings

 

Let me walk you through the steps:

  1. Select your employee's name on the pay run window.
  2. On the Action tab, select Add Earnings.
  3. On the Daily Earnings, click Holiday Pay
  4. Enter the number of days and rate per day.
