Assign access levels to team members in Books Close

Intuit Accountant Suite uses Role-based Access Control (RBAC) to manage team member access to various functions. Before team members can work within Books Close, the primary or company admin must assign specific permissions at the firm, team, and client levels.
Step 1: Set firm-level access
First, you’ll set the team member’s general access level within the firm.
- Sign in as the primary or company admin.

- Locate the team member you wish to modify and select Edit.
- Under the Roles dropdown, assign one of the following firm-level roles:
- Company admin
- Standard all access
- Standard limited customers only
- Standard limited customers and suppliersÂ
Next you’ll set up the team view access. This allows the firm to see who is assigned to specific closes and tasks.
- On the same Edit user page, scroll to and select View all permissions.
- Scroll to the Add additional permissions section and expand Account management.
- Select the View checkbox next to Team.
- Select Done.
Step 2: Grant client-level access
Team members must have specific access to the clients they will be working with.
- On the Edit user page, scroll to the Access to your clients’ Quickbooks section.
- Select the specific clients (or bulk select) you want the team member to access, then select Edit access.
- In the side panel, assign one of the following client roles:
- Standard all access
- Standard limited customers only
- Standard limited customers and suppliers
- Company admin
Step 3: Turn On the Books Close settings and onboarding access (Optional)
You’ll do this if the team member needs to onboard new clients or modify settings (such as templates).
- Go to the Edit user page for the specific team member.
- Select View all permissions.
- Scroll to Add additional permissions and expand the Books close section.
Select the boxes to provide access to Onboarding and off-boarding clients or Settings.
Note: Granting Onboarding and off-boarding clients access will automatically grant Settings access as well.
Next steps
Once you’ve completed this process, your team members can access Books Close for the clients you’ve assigned to them. You’ll also see which team members are assigned to which clients and tasks.Â
