Create and apply accounting policy templates

by Intuit• Updated 3 days ago

Accounting policy templates let your firm define how Intuit Intelligence should categorise and manage client transactions, then apply those rules to multiple QuickBooks Online clients at once. This article covers how to create a template and apply it to your clients.

Instead of setting up transaction rules client by client, you can build one policy for a type of client — for example, a dental practice — and push it to every client that fits. This keeps your firm's standard operating procedures consistent across clients and reduces manual cleanup.

Note: Only primary and company admins have access to accounting policy templates.

Create an accounting policy template

Set up the specific rules that tell Intuit Intelligence exactly how to categorise and manage transactions for a type of client.

  1. Go to Firm hub and select Policy templates.
  2. Select + Create.
  3. Enter a name and description for your template, for example, Dental practice policy.
  4. Under the Transaction posting policy section, define the rules and parameters in the following fields for how Intuit Intelligence should handle transactions under this policy.
    • Required fields: Select the appropriate values that you want to set.
    • Transactions require review: Set the amount.
    • History settings: Set the date.
    • Transaction posting notes: Add the additional information, if applicable.
  5. Under the Asset & expense policy section, set the capitalisation thresholds.
  6. Select Save.

Your template is saved to your firm's policy library and ready to apply to clients.

Apply a policy template to your clients

Once you save a template, apply it to multiple QuickBooks Online clients at the same time instead of setting up each client individually.

  1. Go to Firm hub and select Policy templates.
  2. Find the policy you want to use in your policy library.
  3. Select the â–Ľ dropdown from the Actions column, then select Apply.
  4. From the Client â–Ľ dropdown, select the clients you want to assign to this policy.
  5. Select Apply.

Intuit Intelligence now follows this policy's rules when it categorises and manages transactions for each client you added.

Edit a policy template

You can edit the policy if needed.

  1. Go to Firm hub and select Policy templates.
  2. Find the policy you want to edit.
  3. Select Edit from the Actions column.
  4. Make any changes you need to, then select Save when you’re done.

Note: This won’t change any policy that you’ve already applied to the clients.

Make a policy template inactive

If you no longer need a policy, you can make it inactive.

  1. Go to Firm hub and select Policy templates.
  2. Find the policy you want to make inactive.
  3. Select the â–Ľ dropdown from the Actions column, then select Make inactive.
  4. Select Make inactive to confirm.

Note: Inactive template won't appear in your policy library. Clients already using it keep their current policy.

Troubleshooting accounting policy templates

Intuit Intelligence isn't following my firm's rules

Intuit Intelligence relies on the standard operating procedures defined in your firm's accounting policy templates. If an automation is handling a client's transactions incorrectly, check that client's profile to confirm you applied the correct policy template to their account.
