Manage your QuickBooks Online subscription and payment details

Learn how to view your billing history, update your payment method, and change your subscription plan in QuickBooks Online.

How you manage your billing depends on how you first signed up for QuickBooks. To make sure you get the right instructions, let's quickly find the path that's right for you.

Important: Subscriptions started on a mobile app

If you signed up for QuickBooks Online using the app on an Apple (iOS) or Android device, you must manage your billing and subscription directly through your app store provider.

The steps in the rest of this article do not apply to mobile app subscriptions.

If you used an Apple device to subscribe, you will need to manage your subscription through Apple.

If you used an Android phone or tablet to subscribe, you will need to manage your subscription through Google.

For subscriptions started on the QuickBooks website

The following steps are for customers who signed up directly on the QuickBooks Online website.

Follow these steps to manage your payment details and review past invoices.

  1. Go to Settings ⚙ and select Subscriptions and billing.
  2. Review the information in each section. To see your invoices from the last six months, select View payment history.
  3. Find the Payment method section and select Edit ✎.

From here, you can:

  • Update the details for your existing payment method, such as the expiry date or billing address.
  • Add a new payment method (credit/debit card, direct debit, or PayPal).
  • Switch to a different payment method you have previously used.

Your changes will be saved and reflected on the Subscriptions and billing page.

You can choose to pay for your QuickBooks subscription monthly or annually. Opting for an annual plan gives you a 10% discount compared to paying monthly.

  1. Go to Settings ⚙ and select Subscriptions and billing.
  2. Select Switch to annual billing or Switch to monthly billing.
  3. In the subscription summary, review the details and select your preferred plan.
  4. Select Subscribe, then select Done.

When you switch your plan, we'll credit you for the unused portion of your old plan. If you switch from an annual to a monthly plan, any credit that can't be applied to your new plan will be refunded to you.


Move your billing to or from your accountant

If you are the Primary Admin on the account, you can take over the billing from your accountant. You will need:

  • A payment method. This can be a credit/debit card (Visa, Mastercard, or American Express), direct debit, or PayPal.
  • A billing address for your card. This doesn’t have to match the physical billing address in your QuickBooks settings.
  • You can only use one card per payment. 
  1. Go to Settings ⚙ and select Subscriptions and billing.
  2. Select the option to Transfer billing to myself.
  3. Enter your payment information.

You will receive a pro-rated refund for any remaining period on your accountant's plan, and you will then pay the standard price for your subscription.

To take advantage of your accountant's wholesale pricing, you need to ask them to take over your direct subscription.

Speak to your accountant and let them know you would like them to handle your QuickBooks billing. Only your accountant can initiate this process. They will send you an invitation to join their wholesale plan, which you will need to accept.


Frequently asked questions about billing

Can I choose an annual plan when I first sign up? No, this option is not currently available at sign-up. You must first subscribe with monthly billing and then follow the steps above to switch to an annual plan.

Will I be reminded before my annual subscription renews? Yes. We will send you an email reminder one month before your renewal date. Your subscription will auto-renew with the 10% discount.

What happens if I cancel my annual plan early? We will turn off auto-renewal. You will retain full access to your account until the end of your current annual subscription period.

I am billed annually. Can I upgrade or downgrade my plan? Yes. You can change your plan at any time. Your fee will be adjusted to the new plan's full list price, and your billing date will remain the same.


Troubleshoot billing problems

If you see an error message or a blank screen when trying to update your billing details, please try the following:

  • Check your details: Ensure all fields for your payment method and billing address have been entered correctly.
  • Clear your browser's cache and cookies: This can often resolve unexpected display or performance issues.
