Add an accountant to QuickBooks

Learn how to add your accountant in QuickBooks Online.

Important: You can't add your accountant using the QuickBooks mobile app. To invite your accountant, you'll need to sign in to QuickBooks Online through a web browser using the steps below.

Invite your accountant to access your company file to help with bookkeeping, make corrections, and prepare for taxes. This allows them to use accountant-specific tools to review your books and assist with issues. Accountant users invited this way don't count toward your user limit.

Prerequisites

To invite an accountant, you need primary admin or company admin access to your QuickBooks Online account.

Invite your accountant

Follow these steps to send an invitation to your accountant:

  1. Sign in to your QuickBooks Online account as a primary or company admin.
  2. Go to Settings âš™.
  3. Select Manage users.
  4. Select the Accounting Firms tab.
  5. Select Invite firm.
  6. Enter your accountant's email address or their firm's user ID.
  7. Select Save.

Result

Your accountant will receive an email invitation to access your QuickBooks Online company. Once your accountant accepts the invite, their status on the Manage users page will change from Invited to Active.

Next steps

  • Invitation email: Your accountant will receive an email inviting them to access your QuickBooks Online company.
  • Acceptance: If they don't have QuickBooks Online Accountant, the email will include a link to sign up. Once they accept the invitation, they can start working on your books.
  • Status update: After your accountant accepts, their status on the Manage users page changes from Invited to Active.
