Keep client notes in QuickBooks Online Accountant

Learn how to create and manage client notes.

You can use the client notes feature in QuickBooks Online Accountant to keep important notes about your clients. Here’s how to create, view, and manage client notes. We'll also show you how to star them so they're more visible.

Add or view client notes

Each client gets their own notes. You create and view notes one client at a time:

  1. Go to the Clients menu.
  2. Select the name of the client.
  3. Select the Notes tab, then select + Add note.
  4. Enter your note in the Add note field. You can mention a team member with @[name] to notify them via email.
  5. If you want the note visible only to you, select the Team (default) dropdown and choose Private (only me).
  6. Select Post.

Tip: You can also view past notes in the Add note field.

Star a note

Star important notes so they're easy to find at a glance:

  1. Go to the Clients menu.
  2. Select the name of the client.
  3. Select the Notes tab.
  4. Select the star icon on the note.
    Note: The icon turns green when a note is starred.

You can see notes with stars when you select the star icon beside + Add note. If you want to remove the star on a note, simply select the star icon again.

Edit a note

Keep in mind, editing a note overwrites everything. You can't recover the previous version.

  1. Go to the Clients menu.
  2. Select the name of the client.
  3. Select the ellipsis icon on the note you want to edit, then select Edit.
  4. Make your edits, then select Post.

Delete a note

Keep in mind, deleting notes is permanent.

  1. Go to the Clients menu.
  2. Select the name of the client.
  3. Select the Notes tab.
  4. Select the ellipsis icon on the note you want to delete, then select Delete.
  5. Select Delete to confirm.
    Note: When you delete a note, it also deletes any comment on it.
