Manage your clients with the new client list

Learn how to manage clients from the new client list in QuickBooks Online Accountant. Get a fast, responsive view with useful sorting and filtering, and go straight to your clients’ accounting solutions. Use the client list to add new clients, find existing ones, or change client details.

Find related client data

Some data previously found in the client list is now in new locations:

  • Bank connection status: Find this in a widget on your main dashboard.
  • Client transaction volume and Uncategorised transactions: These are available in the Client Insights app, which is part of the QuickBooks Online Accountant Accelerate Beta.
  • Month-end close: Use the Books Close beta, now available in QuickBooks Online Accountant, for a streamlined month-end close across all clients. You can still access Books Review for each client's books, but we encourage you to try this new feature.
  • Workpapers: Your client's links to Workpapers will be added to the Client list in November.

Access and update your client list

Follow these steps to manage your clients using the list. 

Prerequisites

  • Your firm must be opted into QuickBooks Online Accountant.

Steps

  1. Go to Clients and select Client list (Take me there).
  2. To add a new client, select Add client. From here, you can:
    • Add the client information and product subscription details, and then follow the next steps to add a client.
  3. To find an existing client:
    • Enter the client name you want to find in the Magnifying glass search icon. Search field.
    • Press Enter to display matching names.
  4. Select Customise to filter your client list, select any filter option and select the specific value you want to filter by.
  5. To modify a specific client's details, select Edit client from the Actions column. From here, you can:
    • Edit client information.
    • Edit team member access.
    • Access product subscription information.
  6. To perform other actions for a specific client, select the â–Ľ dropdown from the Actions column. From here, you can perform the following actions:
    • Make the client inactive.
    • Edit lead information.
    • Permanently delete the client.
    • Assign custom fields (available only if custom fields have been created for your firm).
  7. To log directly into a client’s accounting application, select the QuickBooks icon QuickBooks logo. next to the client name.
  8. To export your client list, select the export icon above the Customise. A CSV file will automatically download.
    Note: The exported CSV includes one column per firm-defined custom field (blank if a client has no value). If your firm has grouped clients, a Multi-Entity Group column appears immediately after the client name column, with grouped clients appearing together in rows. This column is omitted if no clients are grouped. Current sort, search, and filter settings don't carry over to the export.
