Create and use project templates

Learn how to create and use project templates in QuickBooks Online Accountant.
For an easy setup of projects and tasks, you can use the Quickstart templates in the Templates page. You can also create or customise templates to suit your firm or client’s needs. Use them on your recurring projects to have a consistent workflow and complete projects on time. Here’s how.
Create a custom template
Custom templates are templates you create. They're used to define tasks you need in a workflow. You can apply a custom template to multiple projects.
- Go to All apps
, select Work, then select Projects (Take me there).
Note: If you are using QuickBooks Online Accountant, go to Work. - Select Manage templates.
- Select Create template and enter a template name in the Template name field.
- Turn on Repeat to set up repeated due dates, and use the fields that appear to specify the interval between due dates.
- Enter any information or notes for your team in the Details field.
- From the Tasks section, select Add a task and enter a task name in the Task name field.
- From the Due date â–Ľ dropdown, select:
- Set later to specify that the task due date is set when a project is set up.
- Offset to tie the task due date to the project due date. Enter the number of days before the project due that the task will be due.
- Add all tasks you need to the template.
- Select Save template.
You can check your saved template in the Custom templates list on the Templates page.
Set up a project using a template
You can use a standard or custom template as a starting point. Adjust the tasks, due dates, and assignees when you create a project if necessary.
- Go to All apps
, select Work, then select Projects (Take me there).
Note: If you are using QuickBooks Online Accountant, go to Work. - Select Create project.
- From the Project template â–Ľ dropdown, select the template you want to use.
- Verify or update the project name in the Project name field.
- Select the client from the Client â–Ľ dropdown, and set the Due date for the project.
- Select a team member from the Assign to â–Ľ dropdown.
- Turn on Create recurring schedule to set up repeated due dates, and use the fields that appear to specify the interval between due dates.
Note: If you turn on Repeat in the template, Create recurring schedule will also turn on automatically. - Select Save.
- Review the list of tasks and select + Add task if necessary.
You can see your saved tasks and projects in the Work. This includes the assignment and due dates you set.
