Duplicate an invoice or an estimate in QuickBooks

If you have a customer who has a repeat invoice, save time by duplicating the invoice instead of entering all the info twice. Here's how:

Note: This article is for customers using QuickBooks Online (Advanced, Essentials, Plus, and Simple Start) and QuickBooks Sole Trader.

For the old invoice layout

Note: The old invoice layout is not available in QuickBooks Sole Trader.

  1. Go to Sales and select All sales (Take me there).
  2. Find the invoice or estimate you want to copy.
  3. In the Action column, select the dropdown ▼, then select Duplicate.
  4. Edit the invoice or estimate as needed, then select Save.

For the new invoice layout

  1. Go to Sales and select All sales (Take me there). Note: If you're using QuickBooks Sole Trader, go to Get paid and select Invoices or Estimates.
  2. Find the invoice or estimate you want to copy and select Edit.
  3. Select  Manage, to open the settings panel.
  4. Select More actions, then select Make a copy.
  5. Edit the invoice or estimate as needed, then select Save or Save and close.

If the customer needs the same invoice regularly, you can set up recurring transactions instead. Or you can create the same invoice for multiple customers. Note: This feature is not available in QuickBooks Sole Trader.
