See what’s new with estimates and invoices in QuickBooks Online

We're enhancing the QuickBooks Online invoice and estimate layouts to better meet your business needs. This new design helps you land jobs, keep work moving, and get paid faster. All your previous invoices and estimates will still be accessible, and the update will happen automatically, so there's nothing extra you need to do.

What we added based on customer feedback

• Modern template customisations: Show, hide, or rename columns from the right panel, and change colours and fonts directly within the invoice
• Easy template access: Edit your existing templates by selecting Manage, then Design, then Add/Edit
• Faster invoicing: Enjoy a faster invoicing experience with convenient keyboard shortcut

Features currently unavailable in the new experience

Please note that the following classic invoice features are currently unavailable in the new experience:

• Adding previous attachments
• Billable Mileage Tracking
• Statements (displaying an ageing table at the bottom of a statement)

What you can do with the new estimates and invoices

Customise estimates and invoices on the spot

Customise and adjust your forms directly within the estimates or invoices you're about to send. There's no need to manage templates—all the options are on each form. QuickBooks remembers your choices and applies them to your next estimate or invoice.

Get estimates approved faster

Your customers can now review and approve your estimates online, directly from the email you send them. Stay informed with real-time alerts as soon as they respond.

Track and manage estimates in one place

You can check the status of all your estimates at a glance. Go to All apps , select Customer Hub, then select Overview (Take me there).

From here, you can respond to your customers, revise estimates, or convert them to invoices when approvals come in.

Available features for QuickBooks Online Advanced

• Workflows: Automate tasks like sending payment reminders or new invoices to customers
• Smart Suggestions: Get guidance and recommendations to optimise your QuickBooks Online invoices
• Custom Fields: Enhance your invoices with additional layers of reporting to capture more detailed information
• Classes: Track invoices by department, product line, or any other relevant criteria

Note: When using custom templates for invoices and estimates, you'll see a pop-up banner indicating: "You are using an old template." Please note that the email view and PDF view previews are not available on the individual tabs with these templates. For full functionality of these tabs, we recommend switching to the Modern template.
