We're enhancing the QuickBooks invoice and estimate layouts based on your feedback to better meet your business needs. This new design helps you land jobs, keep work moving, and get paid faster. All your previous invoices and estimates will still be accessible, and the update will happen automatically, so there's nothing extra you need to do.

What you can do with the new estimates and invoices
Customise estimates and invoices on the spot
Customise and adjust your forms right on the estimates or invoice you are about to send. There's no need to manage templates - all the options are on each form. QuickBooks remembers your choices and applies them to your next estimate or invoice.
Ways to create an invoice
There’s more than one way to create an invoice in QuickBooks.
- Create invoices from scratch, especially if there’s no existing record of the charges. You can create them either one at a time or in a batch.
- Import invoices recorded in a spreadsheet into QuickBooks Online.
- Convert approved estimates you’ve sent customers into invoices.
- If your invoice is being paid in installments, create one or more progress invoices from an existing estimate. Progress invoices don’t change the original estimate, and you can create more than one.
See your invoices
Any time you wish to review your invoices:
- Go to All apps
, select Sales & Get Paid, then select Invoices (Take me there). - You can also select an individual customer and review their Invoices tab.
The Status column shows where your invoices are in the sales process and whether they are overdue, paid, or voided.
QuickBooks puts unpaid invoices into your Debtors account. You'll see this account on your Balance Sheet and other financial reports.
Note: Any customer statement created for a parent customer includes invoices for each sub-customer of that parent that has been set to Bill parent customer.
Record paid invoices
If you use an external platform to process payments, you can record these payments manually in QuickBooks Online.

To see all your invoices in one place, Go to All apps
, select Sales & Get Paid, then select Invoices (Take me there). Track their progress, send reminders, record payments, and more.
Get estimates approved faster
Your customers can review and approve your estimate online, right from the email you send them. You'll get alerts as soon as they respond.
Track and manage estimates in one place
Go to All apps
, select Customer Hub, then select Overview (Take me there).To check the status of all your estimates at a glance, select a customer and go to the Transaction List tab. From there, you can respond to your customers, revise estimates, or convert them to invoices when approvals come in.
Manage payment options
You can easily add payment options like shipping fees and discount fields as needed to your invoices. And add a deposit, detail the deposit amount and other related details right on the form page.
Preview what your customer will see
When using the modern template, you can preview how your invoice (and estimate) will look as a PDF or email.
Manage it all on the go
Away from your desk? Take care of all your estimates and invoicing tasks with the QuickBooks mobile app.
When you create or update an estimate or invoice, the mobile app autosaves your work so you can always pick up where you left off. You can also import contacts from your phonebook and send estimates and invoices by text message.

- Billable Mileage Tracking
- Statements (Show ageing table at the bottom of a statement.)
- Enabling Payments
- Construction Industry Scheme (CIS)
